Hello All,
We had an EC meeting attended by Sheela Kamat, Saraswati, Subbu, Vidhya, Shankar Prasad and myself.
We discussed the topic & flow, which was tentatively fixed as:
- Day 1 - 10 am - Key Note Speakers on Communication between Parent & Child and Communication with Adolescents - speakers Shobha Managoli & Preeti Galagali respectively, followed by break-out sessions for parents in the adoptee age group of up to 12 years and the other group of teenage and older - these sessions will be up to 1 pm (lunchtime) - with vote of thanks to the 2 speakers, who will join for lunch before departing from FF.
- Day 1 - 2 pm - 5 pm : Topic - Humor in Communication, speaker : Dr Shaibya Saldanha, with vote of thanks to Dr Shaibya at 5 pm. There will be a tea break at 3.45 pm. Dr Shaibya can stay for dinner, if she chooses to, else departs after the session.
- Day 1 - 7 pm : Bonfire & Bonding
- Day 1 - 8 pm : Dinner
- Day 2 - 8 am : Check-out and breakfast. Luggage can either be loaded into personal transport or kept in the dorm - 2 dorms available for this purpose and for resting.
- Day 2 - 10 am to 1 pm : Topic : Having fun interacting with our Child/Children; speaker - Dr Ali Khwaja and Team Banjara, ending with vote of thanks to Dr Ali and his Team, who will join us for lunch
- Day 2 - 1 pm : Lunch and Farewells
- Speakers need to be contacted, and if they accept, brief them on the topic, and take their inputs for special needs (conveyance, LCD projector, audio system, chart-paper, pens, pads, etc for group activity and any other requirements)
We discussed the Fireflies budgeting - the same is attached (Nov 14 Workshop - cost workings.xlsx) (it gives the budgets and actual of the 2014 FF event for comparison)
- We need to make the advance payment of Rs 50,000 to FF - Skankar Prasad was requested to do so.
- We need to decide on the quantum to be charged per participant. The attached budgeting has both options of Rs 1000 per participant and Rs 1200 per participant. In either case, the amount covers food & stay for each participant aged 10 years and older - same charge for Member, Member's family / child and outstation guests - e.g., BSSK/SOFOSH, NEEDA, BAPUJI, Mysore, etc. Non-Members will be charged Rs 1500 in place of the Rs 1000/1200. Charges fixed whether staying overnight or not - acco on first-cum-first-served basis. Balance of expenses to be covered from donations or from corpus.
- I suggest we divide the roles between the various EC Members - one EC Member per event, with Saraswati / Sharkar Prasad and me coordinating. Vidhya for time-keeping and MC duty!!
- Teaser mail to be sent as discussed - sent yesterday by me.
Based on the consensus, we need to move quickly in getting the website up, printing of folders / pads, poster, etc. Fliers to be printed this time? Mementos and/or flowers? Transport for who all - to be arranged and the EC Member coordinating will have to track the taxi company from pick up to departure of speaker / guest from FF - bill settlement common if travel agency else, with Shankar Prasad with bill. And donations, of course!
