Reducing Audiance 

Dear BOM,

All of you are well aware that the entire AC system and it's related electrical system from club banquet and conquest has stopped working from the day when few of our MC and club committee members arranged an inter Bengal under 15 years chess compilation where the footfall at the peak time was approx. 800 outside people.

 As a result of which a large sum of expenses would be incurred from our societies CAM account on its repair.

It's seems a bit surprising to me that a day before when the Rabindra Jayanti program was going on in the banquet, the AC system which was working perfectly fine, suddenly stopped working the very next day. Same breakdown happened for the conquest on the same day.

And the entire breakdown happened due to excessive heat load generated for overcrowding the clubhouse for the chess event. Event organisers never cared on the AC design load and operations in Club house in recent times has turned out into Personal Agenda forgetting the simple fact that the             "" CLUB HOUSE BELONGS TO SIDDHA TOWN RESIDENCE AND NOT OUTSIDERS "".

Having said that, rest I leave it to all our BOM members to decide.

As discussed over the phone with Debasish and Maharana please go ahead with this on urgent basis. Children are having health issues due to heat and non functional ACs and coaching classes are getting affected too.

This is to inform you that all 6 AC units of the Arena area, 1 AC unit of the Conquest area, and 1 AC unit of the Target area are not functioning properly. Some of the units are starting, but their cooling efficiency is very poor.
For proper and efficient operation of all the AC units in the Arena, Conquest, and Target areas, necessary repair work needs to be carried out. After completion of the repair work, all the AC units will also require general servicing for better performance and efficient functioning.
In addition, there is a major issue related to electrical instrument overheating, equipment faults, and cable burn problems. To resolve this issue permanently, we need to replace the Distribution Box, Main Power MCCB, and some MCBs. If the issue still persists after replacement, then all incoming and outgoing cables of the AC system will also need to be changed.
Please find the attached PI copy for your reference. Feel free to reach out to me for any further clarification regarding this matter.

Dear All,

It appears that some incorrect and incomplete information has been shared regarding the AC system breakdown.

The AC systems in the Banquet and Conquest were already experiencing functional issues prior to the chess event and did not suddenly stop working during or because of the event. Despite these challenges, the club team managed the entire program with considerable difficulty and effort, which deserves appreciation rather than misplaced assumptions.

Further, as per the reply and observations shared by the Technical Executive (Rahul), the AC systems require servicing and preventive maintenance at regular intervals of approximately every 6 months. However, the last servicing/maintenance activity was reportedly carried out around 8 months ago, which may have significantly contributed to the present condition of the systems.

We request members to review the technical facts objectively before arriving at any conclusion.

Dear Bidhubhushan,

Further to your mail, kindly enlighten BOM with the fact that under which logic 800 footfall was permitted in the club conquest when you were aware that at the same time we had banquet booking with estimated another 250 people plus facility and housekeeping staff. Is our club house AC system designed to accommodate 1100 people at peak summer afternoon time keeping in mind that the ac system is almost 12 years old. Have these kind of footfall ever happened earlier in the last 10 years.

 Why was this aspect not discussed in BOM if you guys are not aware of the consequences? Now who is suffering -  siddha residence and not the outside people whome you have invited.
