Considering the Association's current printing requirements, office space, expected print volume, and overall cost, the HP Laser MFP 323sdnw appears to be the most balanced option because:
The Brother model offers the lowest printing cost but, being an ink tank printer, it is comparatively less suitable for continuous heavy office use. On the other hand, the Canon imageRUNNER is an enterprise-grade machine with excellent performance but its procurement cost is nearly three times higher than the HP model, making it less cost-effective considering the Association's current requirements.
In view of the above, we request the Committee to kindly review the attached quotations and accord approval for the purchase of the new office printer at the earliest.

As discussed, I have re-checked the specifications of the Brother DCP-T830DW.
The HP printer is a black & white laser printer and is faster for regular office printing. However, it does not support colour printing.
The Brother DCP-T830DW supports both colour and black & white printing. It also comes with Auto Duplex (double-sided printing), ADF (for scanning multiple pages), Wi-Fi connectivity, and an ink tank system, which makes the printing cost per page very economical.
Our office printing requirement is predominantly black & white, while colour printing is required only occasionally. In the Brother printer, the black ink bottle (approx. ₹700–₹900 per bottle) offers a high page yield and, based on our expected print volume, may require refilling only once every few months. The colour ink bottles (approx. ₹500–₹700 per colour) will be used much less frequently and are likely to last for a considerably longer period. Refilling the ink tanks is simple and does not require cartridge replacement, thereby keeping the overall running cost low.
Although the Brother printer is comparatively slower than the HP laser printer, it is capable of handling our regular office printing requirements while also providing the flexibility of colour printing whenever required. Considering the lower running cost, colour printing capability, and our overall office requirements, the Brother DCP-T830DW appears to be a practical and cost-effective option for the Association.
Accordingly, we may proceed with the purchase of the Brother DCP-T830DW, subject to the Committee's approval.
