Hi All,
Please find below an update on Basecamp with required actions in red.  
  • If you would like to attend Basecamp but ticket and travel costs are a barrier, please get in touch so I can see if FOE can help. Deadline for booking is the 31st May.   
  • Attached (and below) is the 'programme text' - a reminder of our sessions and confirmation of when they are taking place.
  • All of our sessions will take place in a yurt (similar to this) which we will share with the Youth and Education Network all weekend.
  • The Youth and Education Network have confirmed that they will do the 'Young People, Identity and Consumption' session with us - if anyone would like to lead this session with Rachel (who runs the network) please let me know. I will put you in touch with her so you can plan it.
  • In regards to the session on 'Engaging Young People', Greg please confirm whether you and Lucy are happy to do this (if not I will look to make alternative arrangements).
  • The 'Get Involved with YFOE' session needs session leaders - ideally people that will be staying on. If you would like to run this session please let me know.
  • 'Introduction to YFOE' doesn't have a session leader either - I thought we could have a quick planning discussion about it (poll for meeting below) and do it collectively.
  • The bar - Alice, Richard and John - I know you all said you'd love to help - I was wondering if one of you would be willing to take on responsibility for the bar. This would involve overseeing the smooth running including organising a rota of people to help run it (I have already had staff offer to do shifts). You will be supported by the Basecamp Project Manager, Carla.  
  • Your sessions - those of you leading a session will need to plan these in advance (ideally before our meeting TBC - poll below) to ensure you're confident with what you're doing and have the resources you may need. I have provided more guidance below on session planning - the attached 'session planning template' is for you to use to plan your sessions - of course you may have a preferred method to plan sessions. I'm not going to ask to see session plans - they're your sessions and I want you to take ownership of them. However, please do try to complete them by the meeting mentioned above so you're well prepared and there isn't any panicking as the event gets closer. If you need help, please ask.     
  • If more than one person is leading a session, please get in touch with each other to plan it.
  • There will be equalities guidance for everyone holding sessions at Basecamp - I will send this over in a couple of weeks and give you all a short briefing at the start of Basecamp.  
  • Even if you're not down to 'lead' a particular session, it would be great to support and participate in as many Young FOE sessions as you can - the weekend is for you to learn too (and network!) and alongside our sessions there will be plenty of opportunities to do so.
  • Please fill in this poll so I can organise a short meeting (1 hour maximum) to allow us to check-in with each other.

Guidance on planning sessions (from our Events Manager):
  • Basecamp isn't an ‘internal’ event just for local groups. It's intended for both groups and the wider movement - so don’t make assumptions about people’s levels of knowledge or familiarity with jargon. Although some content may be very FOE-specific, most other sessions should be run with this wider audience in mind. 
  • Be prepared to inform and set context - the emphasis should be on collaboration and participation as far as is practical.
  • Most sessions are only an hour long – so please don't try and do too much. Focus on one or two things to explore rather than covering the entire issues, campaign, etc. Bear in mind that in reality you’re likely to have less than an hour as there are few breaks and changeover needs to be very prompt.
  • You won’t have audio or video - so go light on resources, hand-outs, etc.
Get in touch with questions and when replying (i.e. whether you can lead a session currently without a leader) please reply to me directly.

Ahead of our call today, I wanted to send you all two documents on Basecamp:

 

-          A pdf of the final text for the programme which I sent to the Events Manager

-          A Word document of a template for planning our sessions
