Happy New Year! Wow, did 2025 fly by quickly! I hope everyone had a joyous holiday and is healthy and happy.

The start of a new year is a great time to conduct a roll call to ensure all your members are ok and still responding. The holiday season can be quite stressful, and, along with cold weather, ice, and snow, a surprising number of health issues arise.

Please also take this time to review your state's membership records in Oversight (our Project membership database). Oversight is the one way we have to connect with every member.

The EC website has links to help:
Here's hoping for a great 2026 for our Project and our members! Thank you for all you do to keep our Project up-to-date!

So, I clicked on the last time state page updated.  What does
says Colorado updated in Feb 20223 ( about the time we switched from .com to .org)

Last updated date on the home page is August 2025.

Wondering what that page is looking at for the dates.

Thanks for asking, Betty.

It is looking at the last time the SC updated the membership for the state in Oversight. If it's been a year or more, then it's a good idea to review the membership in Oversight to make sure it has any new members, counties that were adopted since then, correct email addresses, and remove any members that may have left the project or are no longer a CC for a specific county.

All SCs should have a login to Oversight. If not, contact Pat Asher at pjr...@att.net. You can also request a spreadsheet for your state, and send back updates if you're not comfortable submitting changes directly in the Oversight program. I believe an SC can also delegate its state login/membership maintenance to an ASC.

Oh, okay
I thought it was referring to page updated, not the people.

Thanks!

The dates aren't always accurate. For example, Arizona has a Jul 2024 date on the "SC/PC Membership List Update Status"  page, but the CCs, ASCs, SC list is current in oversight (updated in 2025).

Can you tell me how to find this Oversight in the Project Membership Database?  Is this only available for the SCs?

Thank you.

An SC, or their delegated ASC, may have access to Oversight at the State level, meaning they can add/remove members for each county and update email addresses if they've changed. An SC, or their delegated ASC, can get a password to Oversight, or request a spreadsheet for the state from the EC. I believe there can only be one authorized person to manage each state, so if an SC wishes to delegate this responsibility to an ASC, they should contact the EC.

Pat, please correct me if anything I've said here is incorrect.

Thanks!

Linda is correct. The SC, or their delegated ASC, can update their State or Special Project membership list directly in Oversight.

Individual members can only access and update their personal membership record using the "Registration" interface.

Since the status page requires a separate step in an entirely different process, we can sometimes overlook an update date on the status page.

FYI -- to All.

The Status page,
https://www.usgenweb.org/usgwelections/updates/status.html
has now been updated for 2025, and should accurately reflect the last update you submitted to the EC.

If you updated your membership list with the EC in the last 12 months and it doesn't say so, let me know.

Pat Asher, EC Chair
