Dear Mr. Donglin Li, ILO Country Director in Sri Lanka,


My name is Naoki Kojima, a member of Sri Lanka Study Programme presented by the Kokuren Forum. I am an undergraduate student at School of Law in Hokkaido University in Japan. As per our introduction by Mr. Tase,it is a great honor for Ms. Hao Wan and I  to be the communication focal points on behalf of  Kokuren Forum to identify projects for our visit. Thank you very much for taking the time to help us out.


As we would like to learn more about the projects in progress at your office, could you kindly share with us some more information about the ILO LEED? For further details, we would like you to provide us with the following information:


1) The project document about LEED.

2) Progress Report or Mid-term Report that shows the project outcome.

3) Some relevant PR materials such as leaflets about LEED.

4) The distance and the time required to travel to the ILO LEED project site from closest city other than Colombo.


We appreciate your kind cooperation.

こんにちは、なおきです!ILOのNihalさんから私個人宛にLEED関連資料を送信頂いたため、Google Docsの方に保存しておきます!(はおさんには内容把握等に関して個別で連絡差し上げます。)
計100ページ以上の英語文献ということで少々戸惑っておりますが、LEEDに限定されている分文献内の必読箇所はそう重くないかもしれませんね笑

相手方がDonglinさんをCCに入れていないため、今日中にDonglinさんへのお礼のお返事案を書き上げ、チェック後に簡潔に差し上げつつ今後はNihalさんとのコンタクトを進めていこうかと思っています。

【北東部でのプロジェクト訪問を検討されている方々】
北東部に赴く可能性のある機関とコンタクトを進められている方もいらっしゃると思います。プロジェクトサイトへの交通を考慮して効率的に移動することが理想的だと思いますので、日程調整を済ませてしまうためにも早めに連携していきましょう!ちなみに、LEEDはthe district of Kilinochchiというジャフナから南東に車で片道一時間程度の場所に訪問することになりそうです。

1. Project is in the city close the the Kilinochci Magistrate court on the AR road (Jffna Kandy road)

As our travel is approaching in three weeks, we would like to push forward the process and determine our itineraries. In this regard, we would be extremely grateful if you could share your position on the items Naoki has asked on 27 July.

In the previous e-mail, Naoki asked if we are able to visit the LEED project site and, receive a briefing to learn and discuss more about it. If necessary, we will arrange the venue that can accommodate 20-40 people to invite you.

Concerning our visit to your site, we would like you to inform us the following information :

  1. The location (detail address or maps) of the project site and your office in Killinochchi.

Takaです。2人体制でまわしてるUNHCRプロジェクトのプロマネもう1人が3週間半の休暇から(やっと)帰ってきて、どーやら発電機が動いている時間はこれからは仕事が楽になりそうです。一時は本当にきつかったんですが、これからは仕事に関しては余裕持てそう笑

さて、本件ですが、先方はこちらにメールが届いているか不安に思っておられる(仕事用ではなく、わざわざ個人用からメールすると言って頂いている)と思うので、軽く一言、メール受け取りましたとだけでも返信しといたほうがいいかなって思いました。どうでしょうか?

あとは、場所(まだ詳細は確認してないですよね?地図が頂ければベスト)と、担当者のお名前、ポスト名、電話番号なども聞いて置いたらどうかと思います。

Visiting sites will be dependent on the time duration that you need to spend. According to your plan we will have only two and half hours (if start around 0200pm). Project sites are situated some 25-30 Kms away from the main (A9) road.

Thank you for sending the information. 
On 8 September, we plan to visit Mullaitivu district in the morning (Save the Children Japan project)  and stay in Vavuniya District. In the afternoon in 13:00 of that day, we hope to visit the LEED project to the extent that time allows. Here are some questions:

We are particularly interested in the agriculture coop site and therefore wish to prioritize this visit. I am afraid that we only have about 2 and half hours, excluding briefing and transit time, it is estimated that we cannot see all of your suggested projects. If there is still time after the agriculture coop site see, we would like you to fix the remaining schedule according to your recommendation. 
Please kindly share with us the exact locations of the projects we may visit.
May we receive information about the people we will interact with at the beneficiaries? (For example, the number and details of the people we can meet in each project sites.)
Where shall we meet you, Friends Inn(18, 2nd Farm, Kanagapuram Kilinochchi) or your office?

As for transportation, we are chartering a bus. If it is impossible to access some projects by bus (if 4x4 is necessary), please kindly let us know. Moreover, we would like to send you our team member list as soon as we prepare to share the details.

Hi Naoki,

 

The agriculture coop is in Vavuniya. What we can do it we will have one visit in Killincohci, close to the town and then processed to see the agriculture coop.

 

I will meet you all at my office then for the discussion will go to the friends inn.

 

Yes sure you can take bus to the site.

 

In a meeting there will be around 10-15 people maximum. We will visit the field also.

Following is our plan

 

0100- 0200pm – reception and briefing  by the project manager

0210-0245pm – visit Sivalnarul food processing centre in Klinochcihi (08 Kms from the A9 road)

0330 -0400pm – Visit Crab processing centre in Poonkery at Mulangavil  (45 kms from the A9 road)

0500-0600pm – Visit Vavuniya Agriculture coop (60 Kms from Mulangavil)

 

If this schedule is ok for you please let me know.

 

-          At Sivalnarul you can meet the general manager and the working staff then the centre visit

-          At the crab processing centre, there will be a group discussion with the cooperative members then the centre visit

-          At the Vauniya North there also will be a group discussion with the cooperative officers and members followed by a field visit.

 

In each of the site there will be 10-15 people for the discussions, including the office bearers, members. We can not have large gathering as it is inconvenient for them.

Thank you again for your recommendation on our schedule. I added a proposal from our side based on the original schedule.
We are wondering whether we can change the schedule with a little more buffer. Therefore, we would like to visit two projects instead of three, and leave from the project sites earlier to make sure that we can arrive at the hotel in Vavuniya before sunset no later than 18:15. We plan to stay at Hotel Princess Rose at 15, 4th Lane, Kurumenkadu, Vavuniya. 

 If we have extra time, we would like to extend our stay at the sites and have longer discussions than scheduled. We would like you to consider changing  the schedule as follows.

As for the briefing at Friends Inn, firstly I would appreciate if you explain us the information about the ILO LEED project and our visit sites. Since most of us researched about LEED in advance, the essential explanation, your first-hand experience at LEED and latest the latest information of LEED would be better for all of us. After this, we would like to take as much time as possible for questions and discussion. As for our interest field, I will send the concerning document as soon as possible.


In addition to this, we have 4 questions:


1. May we (about 20 people) have our lunch at Friends Inn? Of course, we will cover our own costs. We have not found a restaurant nearby and was thinking it will be most convenient if we may take our meal at Friends Inn.


2. Could you kindly give us a brief information on hospitals around the sites we are going to visit? We will like to know about this beforehand in case someone gets sick/wounded.


3. Could you let us know your skype ID? I would like to discuss concisely about the briefing with you before departing.


4.  We are discussing among ourselves if we can sing songs or show our dance, as a token of our appreciation to those students/ project beneficiaries and as a cultural exchange between we as Japanese and Sri Lankans. Do you think our idea is appropriate and will be accepted by the beneficiaries and your colleagues? We would like to avoid  giving any negative impression, and therefore your honest opinion is highly appreciated in advance.

We had to change the place as friends had  told us they do not have space. We moved to a closer place to A9 (close to our place. Place of the name is cooperative building. Lunch also arranged there for 20 .

 

2. There is on government run hospital and there is no any other private hospitals in the town. So government one is recombined.

As for our lunch, thank you for arranging the venue, which can accommodate our members. Since we will have lunch in Kilinochchi, we would like to arrive at your office by approximately 12:30.Please let us know if you have any suggestions.

Dear Mr. Nihal, Mr. Farzan and Mr. Thabesan,

Thank you for your great arrangement.

It was precious time for us to visit the various LEED project sites.
We were able to have a lot of experiences regarding to the activities
of the ILO in Sri Lanka.
Thanks to your kind support, we could find the answer to our questions
and hypothesis emerged during the study in advance. After our visit
program, we will discuss our experience and send you feedbacks and
comments.

Thank you again for your cooperation.
We hope to see you again.
