先ほどの予約確認メールに返信を頂きましたので至急ご確認下さい。振込をスリランカ時間の今日午後4時までと指定されてるため、迅速な対応が求められます。

加えて、コロンボ滞在中は相手方との頻繁なやり取りが難しい上支払い関係は動くこともできないためどなたかに今後のやり取りをお任せ頂けませんでしょうか...?

I can arrange 01 45 seater bus for your trip from Mount Lavinia to Colombo campus on 06 Sep. All your team can manage by 01 45 seater bus.The price will be USD 285 with the translator fee.

100% of the main roads in northern area is very good for driving the buses.Therefore I dont think that you dont need use 4x4 for your trip in northern area.Please give me the proper address of the project sites where you visit in northern area. Already I have reserved 02 coaches from 07 September to 09 September for your journey to Northern Sri Lanka.Also I have arranged 02 translators too.I have reserved the accommodation for translators , drivers and the assistants.Therefore I am in a big lost because your last moment cancellation the coaches.Therefore please send your final word immediately for renting 02 buses for your team to travel in Northern Sri Lanka.

If you cancelled the coaches from 07th September to 09th September please pay us 25% of the agreed total vehicle hire as the cancellation fee as I agree with you before.

If you use the buses only for Colombo visits for 10th and 11th the bus hire cost will be USD 380 (for 02 buses).

Please see the below my answers to your questions for hiring the coaches for Colombo City visits.

1. Could we park the buses in close place while we eat lunch/dinner in restaurant in Colombo?
Coaches will be parked at the car park of the restaurants where you get your lunch or dinner.If they do not have the parking facilities for our buses drivers do park the buses in the nearest parking place to your restaurants where they can park the buses.

2. Until when could we rent buses each day? (For example, by 24:00 etc...)
You can use the buses for 10 working hours from your stating time. USD 04 will be charged per excess hour after 10 working hours.

Please send me your response as soon as possible.I believed your words , and I think you will not put me to a big lost.

Thanks for your message. Please see the below my clarification for your inquiries.

After you final confirmation we reserved the buses for you permanently .I trust your words. Therefore you don’t need deposit an advance payment. But if you cancel the trip after your final confirmation please pay us 25% of the agreed total vehicle hire as the cancellation fee for our lost.
As for our payment, you could pay 50% of the total payment in the first day of the tour. The rest of the payment (50%) you should pay at the end of the day before to the last date of the tour.You don’t need to pay any additional payment other than the agreed price.
I can reserve the same buses and the translators for you in 10th and 11th September for drive in Colombo city and around the city.The extra cost you have to pay us is USD 285. KM 200 is allowed for 10th Sep and 11th Sep in this price .Expenses for the necessary accommodation and the meals for the translators, drivers and their assistants are included in this price. I have already temporarily reserved 02 coaches for you until 25th of August. I highly appreciated if you make the final confirmation of the trip before 25th August. If so, I could be reserve the buses permanently and can make the other necessary arrangements for your trip from 07^th September 2015 to 11th September 2015.

1) Detailed information about cancel policy.   If you cancel the vehicle booking before 02 weeks to the traveling date we donot charge any cancellation fees.But if you cancel the vehicle booking with in 02 weeks time to the traveling date we charge 25% of the total vehicle rental as the cancellation fee.
2) Whether you can reduce the cost of the plan. For example, we don't require Japanese translation.English and Tamil is enough. The cost will be reduced from USD1100 to USD 1085 per vehicle if you need only translators from Tamil to English and Sinhala to English.
3) We prefer 4-seaters coaches rather than 3-seaters.   I will provide you 4-seater coaches.

However, I am afraid to say it is difficult to deposit the advance payment on the due you mentioned because our bank has closed now and it takes some time for international transaction. As for the advance payment, we prefer to make the payment from Japan, but in order to pay, following matters are required. Please confirm them.

1. Because we send money from Japan, it takes time to transfer money after our payment. Please let us know whether it is okay to send you the certificate of the payment to reserve the buses.

2. In order to make the payment, the certificate which can prove the billing information is mecessarry. We are now checking whether the emails can be the certificate, but if you have the formal certificate, please send us as soon as possible.

I am sorry I couldn't see your messege last evening since my internet connection had a failure since heavy raining and the lighting in last evening.

Normally our clients deposit payments to our company bank accounts and it doesn't get any delay to transfer money to our account.I am sorry, we have no formal certificate such as you requested.Once confirmed your payment to the bank I can email you a scan copy of original invoice for your payment.

I hope you will make the necessary arrangements to make the advance payment today as you agreed for reserving the buses.Please note, tomorrow is Saturday and our office will be closed.

If I dont get any response to this messege from you today before 12.00 pm by Sri Lankan time I have to cancel the reserving buses for you.
