Tech day dates

Hello Everyone,

I’d like to propose the following dates for tech days:

29th of november - bristol
6th of december - southampton

24th of february - southampton
31st of february - bristol


14th of march - bristol
21st of march - southampton

Does anyone have any objections?

Does anyone know of this conflicting with any half terms?

If not, I suggest we book these dates now so that we can announce them at kickstart ^_^

Hello Everyone,


So the finalised dates are:

6th of november - bristol
13th of december - southampton

(these dates got pushed because of the proximity to now)

21st of february - southampton
28th of february - bristol



14th of march - bristol
21st of march - southampton

George and Murray, can you book these dates out and confirm they’re available? (please do this ASAP as we need to push data at teachers /now/ for those upcoming tech days)

Once the things are booked let’s push entries to the website and ship it!

I've looked at booking this, turns out this is outside of university term time and our preferred room for tech days (in building 25) is unavailable for booking outside term time. I have emailed roombooking and they have confirmed this.

There are two options

1) Move the tech day

2) Use a different room (specifically, one of the ones we used for kickstart)


The latter has the disadvantage that the air con seems to be very hard to get turned on (given I emailed iSolutions for kickstart and even then the air con was not turned on in one of the rooms - only iSolutions have access to it, and they're closed on weekends), and also that historically we've found a no eating rule to be enforced in this room (and there is no sane space nearby for people to eat - meaning group pizza orders are definitely out). Generally the room in 25 is much nicer too - much more spacious, which is advantageous for people working with robots, for example. I'd prefer to use the room in 25 if possible, but if you think rescheduling the tech day is a bad idea, this room can be used in a pinch.

(On a similar note, it being outside term time may or may not be an issue for blueshirts - I expect a few people might be going home that weekend for Christmas. I expect we'll still have enough to run a tech day, though, so this probably isn't really a problem).

Over the past years a number of tech days have been held the saturday after the end of (a) term and normally had enough people (also because less teams appear during these tech days). Provided people are made aware its always been fine.

The week before works if you don't mind it clashing with the Bristol
tech day (6th December). The week before that (29th November) also
works, but it's getting a bit close to today's date. Given we will
probably have enough blueshirts at Soton, is clashing with Bristol an issue?

I don’t think it is, also that gives us a month if we announce today.

Can you get the booking sorted and I’ll coordinate with jeremy to push a notification
to all the teachers, preferably by close of play today.

Hi,

It'd be great to have event pages and so forth on the website to link
to, and to update the key_dates page. Shouldn't be difficult as the tech
day pages are all essentially the same.

Hi,

I'll take a proper look at this tonight -

What I'm currently thinking is it might be worth having a specific line about battery charging, also enforcing a "no robot testing in fire escape routes" rule, and nominating a safety face for each event.
Ideally, there'd be separate areas for supervised battery charging, and for mechanical work away from the PCs, but this obviously depends on the layout of the rooms.

Can we move this one, too? It once again intersects the holidays (for Soton), meaning the preferred room is not bookable.

14th or the 7th would both be fine by me, though the latter would mean the tech days are only two weeks apart (but this is already true for the Bristol ones).

If you'd rather not, that's fine.

(I have also just booked the tech day on the 21st of February, I'll let you know when I receive confirmation so we can advertise it).

Hi everyone,

In case you hadn't noticed, it's now 2015. As a result we need to get
on with booking and publicising the remaining Tech Days of the year.

George and Murray: can you confirm that these are the right dates, and
let us know which of these are booked? At the least it would be good
to have some place-holders on the website so we can point teams at
them.

confirmation -- has that now appeared?
* from looking at the other posts here, 2015-03-21 appears to be a bad
date, though the discussion on alternatives didn't get anywhere.

I'll also throw in that I'm looking at organising a bonus Tech Day
nearish Oxford -- I'll emit more details on that if I get anywhere
with it.

Cool. I think it'd be handy if these could go to the list in future --
they're not exactly private details, and it avoids building
information silos leaving the rest of us in the dark.

So the options seemed to be the 14th, which clashes with the proposed
date for the Bristol one, and the 7th, which is only a couple of weeks
after the previous Southampton one, and only a week after the previous
Bristol one.

Personally I think we're likely to have enough Blueshirts to staff two
simultaneous Tech Days, so having more of a gap between them is a
better idea. (I'd encourage the Bristol ones be moved apart too if
possible, but that's a separate matter really).

Unless we can show now that we're unlikely to have enough people I'd
say go ahead book the 14th.

Cool. I'm aiming to book this for the 21st February, which I realise
clashes with the Southampton one, but strikes me as more likely to be
successful than the 14th [1].

Separately, what impact does this have on Tech Days planned in Bristol
for later in the term? Are you planning to _also_ run one them on the
28th February and 14th March?

It would be really great to get these dates on the website
approximately now -- so that we can announce them at the Tech Day this
coming weekend, and so that people can avoid booking themselves for
other things on those weekends.

next week (7th February) [1]. Since this has also been emailed to team
leaders [2], I'm going to assume that this is in fact happening.
Would you like some additional hands around for that? I'm around next
weekend, and could easily come over for the day. It'd also be great to
catch up since I wasn't at the active day yesterday.

It would be great to see you - as has been fun with Tech Days so far this year I'm not entirely confident we'll be hosting a huge cohort of teams, but I'm expecting to see at least 4 with us on Saturday.

We're planning on holding one more - we decided to push the date back earlier to try and avoid conflicts with other Tech Days and society events/large deadlines. We are aiming for a third and final Tech Day around the 14th March, but this is not yet confirmed!
