Dear Team VCAOA
It is respectfully requested that the following important topics be included in the agenda of the upcoming General Body Meeting (GBM) so that residents can have a transparent and meaningful discussion on these issues and provide necessary clarification:
1. Security Issues
Residents have been consistently expressing numerous complaints and concerns regarding the society's security arrangements. Therefore, a detailed discussion should be held on the current security system, its shortcomings, and proposed steps for improvement.
2. Clarity Regarding the Sinking Fund
Clear information should be provided on the following points regarding the Sinking Fund being collected from residents:
* For how long will the Sinking Fund be collected?
* What is the basis for its calculation and determination?
* For what purposes and purposes is this fund proposed to be used?
3. Effects of the Cancellation of the October 26, 2025 AGM
The Honorable District Registrar has declared the October 26, 2025 AGM cancelled. In such a situation, all resolutions and approvals passed at the AGM should be automatically considered revoked.
Despite this, collection of funds from residents continues, and the amount deducted through prepaid meters has not yet been refunded. Therefore, a detailed discussion and a clear decision should be taken on this matter at the GBM.
4. Matters Related to Prepaid Meters and Other Charges
As per the instructions of the Honorable District Registrar, only electricity charges can be collected through prepaid meters.
Therefore, in the event of non-payment of composite plant or other charges, residents' meter recharge facilities should not be interrupted, at least until the Honorable State Registrar gives a final decision on your appeal.
5. Information Regarding the Café Operating in the Main Club House
The following information regarding the Café operating in the Main Club House should be presented to residents:
What process was followed for renting/leasing the Café?
What total amount was spent from the RWA Fund on this project?
* What was the basis and justification for granting a rent-free period of six months?
What is the monthly rent determined after six months?
The above issues directly relate to residents' interests, financial transparency, and administrative accountability. Therefore, it is requested that these be included in the GBM agenda to ensure necessary discussion and clarification.
