Thanks for this! Everything you stated below regarding budget codes via OSA is correct.
Enchord does not have a budget code at this time.

Hi, Ziming and Aaron - 
Thank you for reaching out. Unfortunately, this might end up being a very complex problem that requires some extra time to unravel! I'll share what I know, but I do not have a solution at this time.

  • I believe that as of this Academic Year, OSA allocates budget codes only to clubs who have requested and received SAC funding (which can include both Independent and PAC groups). Ziming, you would have hopefully learned about this during SOS Financial training! If Enchord does not have a SAC budget code already, it may not be possible to allocate one to you.
    • Danielle, would it be possible to double check whether Enchord has a past budget code?
  • The Graduate Student Center is another office that may be able to manage budgets. If you have received funding or coordinated an Eventbrite through their office, you may be eligible for a graduate club budget code. I would recommend reaching out to their Financial Operations Manager about this. 
  • Platt House isn't a financial office, so we do not have the ability to create new budget codes. We certainly have one for our office, but I don't think we have any avenues for reimbursement to our Operational Budget from outside the University.

If you are unable to secure a budget code at this time, you may need to seek other AV services that do not require a budget code for payment.

Hi all,

Thanks for all your help so far!

I'm directing our question to Platt. The issue is that as an independent student group, Enchord does not have a budget code, which is said to be mandatory for payment for SPEC sound support. 

In this case, should we request a budget code from Platt, or can we proceed with payments to SPEC sound support without a budget code? As the performance date is coming up, we would appreciate if this can be resolved soon. Thanks for your support!

Hi Carol,

Thanks for getting back to me! I'm copying our finance chair Ziming on this email thread. 

I went through our previous invoices and it indeed seems like we don't use a budget code and pay for venue and tech via other methods. For working with SPEC Sound, are we requesting a budget code from Platt, or can we just bring up the fact that we want to work with SPEC Sound but do not have a budget code? If you don't have that information, we will just reach out to Platt and hopefully they can figure this out with us.

We heard back from the office today. The payment transaction would need to go through the university using the budget code. Do you have one? If not, I recommend reaching out to Platt staff to coordinate with them. They might be able to help you with the budget code issue.

Thank you so much for the update! I totally understand that there are a lot of things going on at this time of the year. Knowing that we will (hopefully) have a audio tech person definitely gives us peace of mind, as we do face enormous challenges finding technicians and equipments as an independent group with very little priority an attention given.

To answer your questions, we currently have four wireless dynamic microphones. We also have wired ones if more are needed. We will have at least one technician on site at all times to assist with equipment needs, and you would be able to communicate your needs with them.
