Hi everybody,
The annual general meeting for this year will be held after the September monthly meeting, on Sep 10th.
The agenda is:
1) Selection of meeting chair
2) Confirmation of trustees: Ian, John B and Morgan to continue, and Joseph to stand.
3) Presentation of accounts. See attachments for the summary.
4) Any other business

If anybody has anything for AOB, please reply to this message or raise it in the trustees channel before Sep 6th. Additional items will not be accepted after that.

Kind regards,
Ian

Hello,

What are the timings for the members' meeting and the AGM?

I've seen an email invite with a date for the AGM, but no advertised time for either it or the members' meeting. I may have missed it, but I couldn't see it mentioned in the mail shot that went out. (I think it's a legal requirement to do so.)

Also, is there an agenda for the members' meeting? It's the first time I've seen mention of a members' meeting for a number of years.

Thanks,
Andrew Howe

Hello,

Yes, it is a requirement I believe. The members meeting is always 8pm, though it isn't great form admittedly to rely on that.

We've not been using the Google Group as much lately (things have generally been curculated on Slack), but members meetings have been every second Tuesday of the month as usual.

Not sure about the agenda for the members meeting, as I don't have access to that set of documents.

Out of interest, did you get my introductory email on this mailing list? I sent one, but I'm not sure it was properly received.

Joseph

It's a good point about the timing.

Given that the AGM is an official and legal requirement, could we make this the priority and set the time at 8pm? Once the official AGM is closed, if people have time and can stay, then cover the agenda points for the members meeting - ideally in brief as it may be already quite late by then.

Slack is not suitable for official communication, or even semi-official announcements - this has been covered many times, even at the AGM level I believe. There are several reasons why, but aisde from anything else, history is invisible after 90 days. Slack is great for what it is, but consider it conversational and that only the people watching it will read it.

Cheers

Ed

The email from the members system said after the members meeting, though saying 8pm would probably be reasonable, given that would be in the announced time frame. I have to defer to Ian here though.

It may be an idea to send out the last meetings minutes and the next meetings agenda from that system each month, as we have some fragmentation of members, with some here, some on Slack, but not necessarily both, which was why the announcement came from the HMS.

We didn't have great email list functionality before - HMS is an improvement in that respect and it makes sense that it should be the official channel for announcements going forward. AOB maybe?

If the AGM is to be after the member's meeting, I just request it's kept very short and sweet :)

This Google group is the official communication method of So Make It unless that is changed at a members meeting or AGM. And then that change would need to be communicated through this channel as well.
As Ed said, it's been established several times by the membership

Thanks for confirming the 8pm start time! Much appreciated.

@Joseph: Yes, I did see your intro message on here. And the AGM invite mailshot that went out did mention to look at the Google Group for your intro statement for those who were interested.

Thanks,
Andrew Howe
