9 3 9 Before you setup your Reserva Room Signage it is important to plan how you will manage the room sign devices. If you are installing less than 50 room signs, each with the same configuration, this is less important as a single Connection from Reserva Connection Manager will be sufficient. For larger deployments or scenarios where screens will have different configurations (e.g. some screens which allow appointments to be cancelled and others which don't), more than one Connection will be required. In an Exchange or Office 365 environment we advise that each Connection has a unique user account. In order to complete installation you will need the following from your IT systems administrator: Exchange Exchange server address (IP address or hostname) Exchange username and password (we advise a unique username per Connection) this user should have full control of the room mailboxes it will manage If not already created, a room mailbox per resource/room which will be displayed on a Reserva room sign Office 365 Username and password (we advise a dedicated and unique username per Connection) this user should have full control of the room mailboxes it will manage If not already created, a room mailbox per resource/room which will be displayed on a Reserva room sign Scientia Enterprise Foundation Reporting Database This guide assumes that your Enterprise Reporting Database is already installed and configured. If this is not the case please contact your Scientia Account Manager. The installation steps are as follows: 1. Create and configure Exchange and / or Office 365 account(s) or create an OBDC connection to the Scientia Enterprise Foundation Reporting Database as required 2. Install Reserva Connection Manager 3. Create new Reserva Connection(s) in Reserva Connection Manager 4. Connect to your calendar/ timetable system 5. Add room(s) / location(s) to the Connections 6. Set Media Authentication Username, Password and other preferences 7. Test connection 8. Configure Reserva Room Signs

10 Install Reserva Connection Manager Reserva Connection Manager is required to dynamically connect Reserva room signage products to your calendar/timetabling system e.g. Exchange or Office 365. This software should be installed on a domain joined network PC or server (see minimum system requirements). Reserva Connection Manager can be downloaded from the follow address: Run the ONELAN_Reserva_Setup_V3.5.1.release.exe application and follow the onscreen instructions. Please note that Reserva Connection Manager service must be running at all times in order to maintain the dynamic connection between Reserva room signs and your calendar/timetabling system. If this is manually stopped or the host is powered off, Reserva room signs will no longer be in sync with your calendar/timetabling system and all media actions will be inoperable. To work properly, the media must be able to contact the Reserva Connection Manager service. By default, this contact is made from the media to HTTP port 8080 on the PC or server hosting the Reserva Connection Manager. Please ensure there are no firewalls or other network restrictions in place. 3.2 Create New Connection Reserva Connection Manager is capable of running one or more Connections at any time. Each Connection can be configured differently to allow fine control over which media actions are available on each room sign and other advanced settings. Multiple connections can also be configured to allow one installation of Reserva Connection Manager to intergrate with more than one type of calendar/timetable. Multiple Resources can be added to any one Connection, however, it is recommend that no more than 50 rooms are added to a single Connection. Administrators may find it useful to group rooms into Connections which correspond to buildings, floors or departments. This will make it easier to administer large Reserva deployments. To create a new Connection open Reserva Connection Manager and click the Create New ' button.

23 3.5 Scientia Enterprise Foundation Reporting Database Create ODBC connection 23 To connect to a Scientia timetabling system, the system must have the Scientia Enterprise Reporting module installed and configured. The following steps describe how to connect to the Scientia Enterprise Reporting database via a ODBC System DSN. 1. Start the Microsoft Windows ODBC Data Source Administrator application. This can be found on the Start Menu, under Data Sources (ODBC) or can also be started by clicking the ODBC button on the Scientia tab.

25 25 Figure 16 - Select the 'System DSN' tab and click 'Add...' 3. Select the database driver based on type of Scientia database used, then click Finish. 4. The pages that follow will be specific to your specific database configuration. Take care to enter a meaningful DSN name as this will be used to identify this configuration within the Connection. Also, note the authorization type and credentials used as these will be required in a subsequent step. When prompted for a default database, select the database used to store the Scientia data. Please contact your network or IT administrator if you are unsure of these details. 5. When complete, click the Finish button. 6. It is strongly recommended that the DSN is tested using 'Test DSN' button when complete. 7. Once completed click OK to return to the connection editor window

26 26 Figure 17 - once the database connection has been configure click on 'OK' to proceed Connect to Scientia Syllabus Plus Perform the following steps to configure a Scientia Enterpreise Reporting Databased. 1. Select the Scientia ODBC System DSN name created in the previous step. If the DSN is not shown, please click Refresh.

32 Specify Connection settings To configure settings for this Connection click on the Destination tab. 1. Set the Media Authentication User Name and Password which will be used to authenticate meeting room signs with the Reserva Connection Manager. The default username is admin and the default password is password. The Media Authentication Username and Password will be required when installing each room sign. 2. Each media action in Reserva can be enabled or disabled in the 'Allowed Media Actions' section. For more information on each of these actions see the glossary. More configurable options can be found by clicking 'Advanced Settings' in the 'Destination' tab. Please note the Scientia Reporting Database timetable connector does not support interactive media actions, these will be grayed out for these connection types. Please note that if Appointments may be deleted is enabled any user will be able to cancel any active appointment regardless of whether they booked it. It is advised that in most cases this setting should be disabled. 3. At this stage take a note of the Media Web Server Address (host name and IP address) and Media Authentication details from step 1. These are required to setup Reserva meeting room signs.

34 34 Figure 24 - Nam e the connection and click 'Update' 3.7 Test Connection To ensure the connection is functioning correctly and can access the source calendar/timetable click on the 'Test' tab and the click on the 'Test Query' button. Once complete a green tick will appear in the top right corner. Once this has been confirmed click on the 'Update' button and close the connection editor window.

36 Apply Changes 1. Reserva Connection Manager now shows that the new Connection has been created but not made active. To make this and all other changes active click Apply. Connections can be edited by clicking on the desired Connection and then clicking View. This will open the Connection Editor window for the chosen connection. Figure 27 - List of active connections

45 5 Glossary 45 Glossary Appointment Reserva meeting room signage has been designed to be used in academic and corporate environments. The term appointment is used to generically cover a meeting, seminar, lecture, conference, tutorial session etc. which is booked in a resource calendar. Book Appointment This media action is the process of adding a meeting/appointment to an Exchange room calendar directly from a Reserva room sign. Time and date default to the next available slot, meetings/ appointments can be booked up to 30 days in advance (this can be adjusted in Reserva Connection Manager). Confirm Appointment This media action is used to manage situations where attendees or organisers do not attend meetings/ appointments which have been added to a room calendar. If enabled, a confirm button appears 5 minutes before the start time of a meeting/appointment, this is present until 10 minutes beyond the meeting/ appointment start time. If the confirm button is not clicked within this period the appointment is deleted making the resource available to other users. As with all media actions this can be enable and disabled in Reserva Connection Manager. You can also manage how long the 'Confirm' button is visible in the 'Advanced settings' on the 'Destination' tab. Connection A Connection in Reserva Connection Manager is used to give Reserva room signage access to information held in the Exchange Server. Each Connection can be configured differently and can have multiple room assigned to it. Each Connection should have a unique Exchange user account. Delete Appointment This media action allows end users to remove a current meeting/appointment from the Exchange calendar. Please note that this is would allow any user to delete a meeting/appointment regardless of whether they booked the meeting. It is recommended that this is disabled for general usage. Extend Appointment This media action is used to extend a meeting/appointment if it is over-running. A meeting/appointment can only be extended if the room is available for the required period. If enabled in Reserva Connection Manager this will also allow the user to shorten the duration of the meeting. This may be useful for meetings which finish earlier than planned. Locations Rooms in Scientia timetables are referred to as locations. Locations are added to connections in the 'Scientia' tab of connection editor. Media Action Media actions are the interactive features available on Interactive Reserva room signs. These actions include:
