Uncommon Cacao is now hiring a Supply and Fulfillment Associate
We’re looking for a professional with at least 3 years of experience to join our entrepreneurial team. While our office is in Berkeley, California, we have team members in three different states so are open to hiring in the Western US. Overview: The Supply and Fulfillment Associate at Uncommon Cacao will be accountable for our operational logistics from cocoa bean origin to chocolate factory. This team member will ensure meticulous documentation of purchase orders, export and import compliance, and certifications across 10 supply partners. This role reports to the Director of Global Operations and Sourcing.
Accountabilities
Purchasing
Issue POs in accordance with supply/demand decisions by leadership
Oversee export, shipping, insurance, and import customs clearance for all shipments of cacao
Verify pricing across all documentation (invoice, PO, planned forecast, customs forms)
Ensure all documentation accompanies each shipment and that all details on all documents align
Communicate clearly with logistics provider, customs broker, and warehouses to ensure that all parties are aware of timeline and incoming shipments
Compliance and Traceability
Keep/organize records of all documentation with each shipment of cacao for traceability purposes
Conduct weekly inventory reconciliation
Keep records of all up-to-date partners’ Organic and Fair Trade certificates with each PO
Design and implement UC’s FSMA compliance processes including but not limited to FSVP programs and recall plans
Ensure compliance with USDA NOP Organic program and FDA traceability requirements for customers
Supplier Evaluation, Transparency, and Impact
Collect signed Codes of Conduct from each supply partner annually
Manage the supplier pipeline, keeping track of supply leads and potential replacement SKUs
Oversee Transparency Report data collection and audit by third party (usually a student group)
Sales Fulfillment
Manage bean release process and warehouse inventory with warehouse when orders come in from customers
Coordinate with outbound external LTL logistics partner
Manage inventory reconciliation with warehouse
Manage samples sales and fulfillment with third party service provider, Chocolate Alchemy
Issue invoices upon request from Sales Director
Track all information related to cacao sales and customer accounts in Uncommon IT systems
Skills/Qualifications
Excellent attention to detail and numbers
Ability to build and maintain databases of information
Untiring organizational skills (think: filing, record keeping)
Computer literacy in Microsoft (Word, Excel, Powerpoint) + Google Suite (Gmail, google drive, google docs, google sheets)
Ability to operate within CRM and ERP software systems (Salesforce and Ascent a plus)
Ability to clearly communicate - through writing and speaking - complex logistical information
Spanish language competency is a plus
Experience
A successful candidate will have one or more of the following professional experiences:
Inventory management experience - either physical (warehouse) or on paper (ERP) or both
Logistics management experience - freight forwarding, fulfillment, etc.
Food industry experience - procurement, HACCP compliance, or operations
Project management experience - fast paced, multiple stakeholders
