About the Role
We are seeking an Executive Assistant to join our team. The Executive Assistant’s primary area of responsibility will be direct support to TAAF’s President in scheduling, logistics, administration, and other special projects as required. The ideal candidate for this position should be proactive, detail-oriented, an excellent project manager, a strong communicator, and should be passionate about serving the Asian American and Pacific Islander community.
This position will be remote until 2022, when we would prefer that candidates be open to relocating to Washington, DC or Houston, TX.
Responsibilities
- Schedule and organize complex activities such as meetings, travel, and department activities for President. Assist the President in the management of her schedule.
- Organize and prioritize large volumes of information and calls.
- Answer President’s phone. Screen, take messages or field/answer general questions.
- Prepare and edit documents and correspondence and compose routine correspondence independently.
- Complete and file credit card expense reports, invoice requests, and other accounting related paperwork.
- Manage administrative projects for President on request.
- Handle media calls and telephone communications and/or direct to appropriate department/person.
- Coordinate and attend regular and special meetings of Executive Management as requested. Take accurate meeting minutes.
- Acts as custodian of Executive Management minutes and records.
- Manage, train, lead and direct and hire other executive-level support staff.
- Organize informational updates of organization publications and arrange for distribution to appropriate internal departments and external groups.
- Assist, supervise and coordinate various organization-wide events, including all-staff meetings, and other staff morale-related functions.
- Act as liaison between President and other Executive Management and staff.
- Perform other duties as assigned.
- Open President and other important organization mail and determine level of priority.
- Work independently and within a team on projects. Act as a project manager for special projects, such as: planning and coordinating multiple presentations, disseminating information, and organizing events.
- Type and design general correspondences, memos, charts, tables, graphs, presentations, etc.
- Establish, develop, maintain and update President’s filing system.
- Handle confidential and non-routine information when necessary.
Job Requirements
Education/Experience
- College education preferred.
Skills
- Must have high level of interpersonal skills to handle sensitive and confidential situations.
- Position continually requires demonstrated poise, tact and diplomacy.
- Must be able to interact and communicate with individuals at all levels of the organization.
- Must have knowledge of a variety of software applications.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Must be able to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands.
Working Conditions
- Requires occasional weekend, off-hours, or evening work.
