Just a quick reminder we have the Open Day + Darwin Day meeting this afternoon, at 5, on the first floor Sala Mallorca (Seminari 162). This is one of the small meeting rooms on the Hotel side, not the Hospital one.
As you remember, tha Communication depts. proposed to join Open Day and Darwin Day in a joint event, so the main purpose of the meeting today is to discuss this among Darwin and Open Day people, and to merge our projects and budgets, etc.
Bring along any documents, info on websites, bits of news, etc you may think interesting.

Here’s the email I am planning to send tomorrow to all SMS people. I will also send this on the email that is sent to everyone on Fridays (prbb.net). Please let me know if I forgot something or there’s something you want to change. I’ll send it tomorrow lunchtime if I haven’t heard from you before.
I suggest we meet again on the first week of Feb (Mon 2nd Feb at 5pm as today?) to check how many volunteers we have and decide who is going to be the contact person for each subgroup – perhaps we should invite all the new volunteers to that meeting? From then on the subgroups should meet individually…

Hi everyone,
As some of you may know, after last year’s success there is an Open Day planned this year as part of the SMS activities. Also, as 2009 it’s the 200th anniversary of Darwin’s birth and the 150th anniversary of the publication of his famous book on the origin of species, there was an idea of doing something to celebrate this, a type of Darwin Day.
After a discussion between the volunteers and the communication departments of the different centers, it has been decided to have a single day: an Open Day with Darwin flavour!
The proposal is the following:
Date: Saturday 6th June 2009, all day.
Place: PRBB and PRBB inner square and Darwin square
What:
Posters – posters announcing the basic science done at the different PRBB centers. These will be the same posters as last year, plus some new ones if new people volunteer to make posters on other areas that have not yet been covered – if so, they will need to email the contact person and ask for a template to prepare the poster, since they all have a common pattern.
Building visits – visits to several laboratories inside the building, in small groups and two volunteers explaining basic things. This will be the same as last year, so we will only need volunteers to do the visits on the day.
Experiments – some easy experiments on the square, also as last year but this year they will be focused on Darwin, evolution, diversity, etc. So we need volunteers to come up with new ideas for them!
Darwin Exhibition – an interactive exhibition with posters, video, audio, games, etc. to tell people about Darwin as a man, his trip to Galápagos, his discoveries his book and his theory, the uses and abuses the theory of evolution has been subjected to since his time, and an explanation of what things nowadays are affected by evolution (including the research being done here). We need volunteers to come up with ideas and do the actual stuff!
Café científico – as last year there will be a café científico in the afternoon, and the theme will be something related to Darwin and/or evolution. We need volunteers to choose subject and speakers and organize the logistics.
Theater play – there will be a theater play about the Oxford debate, in which Darwin’s theory of evolution was discussed. We are organizing a theater group at the PRBB who will rehearse every week to present this play on the 6th of June – do you want to join??
Video projections – there will be a room in which people will be able to see some videos. If there are two rooms, one will be the same as last year (a chill out video with some nice scientific images) and the other one will be about Darwin (also with images, interviews, etc.). If there is only one room available, we will do a single video with both things.
Please go to this doodle to choose which of these groups you want to collaborate with. We will also need volunteers for:
Communication plan – we need volunteers who will be in charge of making sure all Barcelona is aware of what will happen on June 6th at the PRBB. This will include preparing leaflets, posters, etc. and lists of places to send them. It will be very similar to last year’s so it won’t be difficult!
Budget – do you have good organizational and mathematical skills? We need some people like you to oversee the general budget of all the subgroups!
Volunteers – if you are a sociable person, join us to be in charge of all the volunteers that will join from now on and help them get organized into the different subgroups.
Interaction with PRBB – the PRBB will organize some things (security, cleaning, etc.) but they need to be aware of all our moves! Will you help keeping them updated on all the things we need, so they can check each thing is possible, organize security, cleaning, and give us feedback.

We are "recruiting" motivated persons to help organising this Day !
That means motivated organisers to contribute to the preparation of every activities listed below (thinking about the activity, make a defined plan, with a defined budget, and get ready for the D-Day).

OK with the changes of Antoine and Marija (plus some others).
So, I have removed the budget, volunteers, PRBB interactions and communication plan groups from the doodle – everyone OK with this? That means we have to cover for those groups – we can decide on the next meeting who does what.
If you all agree with this last version, I will send it to all SMS – this afternoon or tomorrow am. Something similar will also be sent to EVERYONE at the PRBB, both in the Fridays email and with a personalized email only about this. I’ll also put some posters around and it will appear in Ellipse.
With all this advertisement going out this week, we should have most of our “volunteers-organizers” in 10 days or so (after that I don’t think we’ll get many more new people…). So we meet on Mon 2nd?
Before then (ASAP, really) a new complete budget has to be sent to all centers for them to accept it. Who had the final doc with all the budgets of the SMS activities of this year (before the OD and Darwin were together)? Was it Michela? We need to recover this and adjust the plan/budget for the “Darwin Open Day”…

Nice ! I would only clarify on your announcement the difference between
organizers and volunteers.
What we need right now is people interested is the organisation process
(thinking about the activity, make a defined plan, with a defined budget, and
get ready for the D-Day) and the volunteers (who will be helping during the
D-day).
Other point, personnaly, I would not recruit organizers for budget, volunteers,
PRBB interactions and communication plan, as these activities don't require
much people, and will mostly involve very specific people (as for communication
plan and budget).
(I tried some corrections about this in your text....aiming to delete the word
"volonteer", that will for sure confuse people. Tell me what you
think about these).

The D-Day will be on June 6th, so we have to start preparing everything straight away!!
