My suggestions in order to make more effective our time are:
1) Common Calendar. Determine deadlines for the content, meetings, revisions as well as logistics and operational issues from now until January. Also, we can have group calendars according to our topics. In this way we can plan and adjust everything and see the progress
2) Additional meetings. Since at least four of us are in Beppu we can book 2 or 3 informal meetings (every two or three weeks) and see how are we doing, what we need, etc. We should share information and see how the group is working and try to help those ones that need support.
