We have received 14 papers with one invited paper for the journal and these papers were taken with personal relationships mainly by Janaka. When we called for papers we asked the members to do presentations but none was interested in making presentations.When we started this conversation (for the first time we created an editorial committee to standardize this process and further tried to improve through getting ISSN for the journal) there was several options, either organizing this as a academic forum calling extended abstracts and then we faced the question whether we publish the journal with extended abstracts. Since the research journal has been published for 10 volumes up to now we didn't want to stop it and we thought that comprising it from extended abstracts won't be worthy. so finally we went with calling for papers.All these points were subjected to discussion within the committee and the editorial committee.If more papers were received and the community contributed with presentations, we could have definitely allocate an extended time slot for this.
As we experienced last year (which I talk only about it as I actively engaged in organizing it) we had an issue of the number of attendees to the session and we had to delay the commencement of the session till the crowd gathered. As per my knowledge and as we have discussed while organizing these events, this is one reason why the Research session and the AGM is held on one day rather than having them separately. We also worked out these options and finally we went with the combined manner since attending for two days to two events will have an impact for members. Even this time after several reminders we have seen about 30 participants who have done RSVP for the event.
We thoroughly believed that we have to do some possible things to keep another step in the academic activities (as well as other activities)
With that mission in mind, we worked out several things;
I am bit concerned on how the value of research work is measured through the percentage of the time allocated for speeches and presentations. With all the above points, it is clear that we as the committee has devoted much time on these things rather than the items to give some entertainment. Mega show didn't have any practices and Peduru Party had one practice session and another is yet to come. All these arrangements were started after October while the work on Research Journal started somewhere in April. Further, there is the option of reducing the entertainment items so as to increase the proportion of research related items in the agenda. But what we thoroughly believed is that this stream of entertainment is well accepted by the members who attended last couple of events since as we thought the community need to relax a bit while engaged with academic activities throughout the year throughout the days since it is the major task of the majority. And as an association cooperating with several communities (professionals, business community, well wishers) we have to provide something for all.
Guys...according to the agenda, just 12.7% of the total time is devoted for something related to research! (80 mins * 100/ 630 mins) :D
I would suggest to change the name of the event :)))))

Thank you very much for taking time to reply to my previous mail in a
very elaborative manner. Also I am impressed that you have taken it as
a constructive feedback rather than a mere accusation.
As a person who was involved with the SLSAJ activities from 2009 (and
currently steped down temporarily due to personal matters)
fundamentally I agree that SLSAJ should have a research session and a
periodical. Because it is our identity as students (both PG & UG) and
most of us will contribute with our knowledge to Sri Lanka in somehow
or other. So there is no argument about it and we both can stand on
the same line.
Mega show and padura (and even DJ) as I see are strategically very
important events, as you as the president and Adhikari ayya as the
ex-president had very wisely seen. It has the power of having people
from different contexts to gather around SLSAJ, simply for the common
purpose of having relaxation, socialization and entertainment. Besides
it promotes the name of SLSAJ, widening its membership and sponsorship
(?). Again we two can stand on the same line.
Thus, our dsicussion as I believe has to be focused on the issues
related to the implementation of plans to make a common forum for
students to contribute with their research, while not distorting the
objectives of entertainment (and vise versa). Then the question is
what are the reasons for the issues you pointed out. As one of our
ex-presidents pointed out once, people do not wish to publish their
original research results and data in SLSAJ simply because it is not
recognized. I agree with him unconditionally because, even I would not
loose the opportunity to increase my publication count in reputed
reviewed conferences and journals with my data in hand, no matter how
well I wish good to SLSAJ (Thankfully, some have thought otherwise for
us to continue our periodical for 10 years!). Then come issues of all
kinds including copyright issues.
My idea is, we have done a fundemental error in deciding to have a
"Journal" at once. Instead, we should have started small, like an
annual symposium. As the journal is the highest level, maintaining the
quality of the same is not a simple task. Compared to that, managing
an annual symposium would have been easy and if we want, we can make
proceedings by collecting some abstracts. Gradually, this could have
been let to grow depending on the members' interest to the levels of
conference and journal. Collecting papers is a problem common to most
conferences and most of them run by personal contacts. But in my
opinion, our problem is the establishment of SLSAJ is not sound enough
to attract papers, specially journal papers, in a consistent manner.
That is why I suggest a gradual improvement over a sudden jump into
the sea. Anyway, the effort of those who worked on sustaining the
journal for 10 years has to be highly commended. And, had you
mentioned the reasons why the contributors rejected the opportunity to
present, if there were any reasons except the distance and travelling
matters, it would have been better for a useful conversation.
Another alternative that I would like to suggest is to have a
periodical similar to the "Communications of the ACM". It contains
"View Points", "Discussions", "Interviews", "Columns", "Tech Talks",
and also very high quality reasearch papers. Besides, it has job
advertisements too. I believe this would enable getting more
participation from the contributors and also would be more useful to
those who read. Furthermore if I am not mistaken, last year we
established a committee to communicate the research findings of Sri
Lankan students in Japan effectively to Sri Lanka. Perhaps it would be
nice to hear the current status of it as the reasons for establishing
it were genuine and reasonable under post-war conditions.
The bottom line of my argument is that the SLSAJ research periodical
has to be re-structured as many people can and will contribute. Also
the reasons for those who contribute to not present their work at the
session would also be useful to know. I do not think trying to give
something for all is a bad idea. Aslo I do not degrade the efforts of
those who worked hard on the RJ. But, if we notice very less
participation for the RS and very high participation for the events
afterwards, for me it indicates a problem with the outcome (Like it is
not important to participate). For some of the stakeholders you
mentioned this could be true but why not for the current and past
students????? As the outcome of RS & J depends on member's interest, I
think this would be the right time to do an evaluation.
Finally, as another idea, isnt it possible to have the launch of
Tharanga and Mega show on the same day? They both serve for the same
purpose of revealing hidden tallents. If they can be put together as a
seperate event somewhere in August, there will be less load on the
last event and there will be ample opportunity to stretch the main
event if necessary. (I still like the group discussions that 2009
committee arranged after lunch. At least few ideas could be shared
among us)
