Protecting Against Phishing Scams and Spam in Microsoft Outlook

Recent Increase in SPAM and Phishing attacks

 

 

 

 

 

We are writing our partners and friends to address the recent surge in phishing scams and spam emails that have been plaguing email inboxes. These malicious emails often disguise themselves as legitimate messages from well-known organizations, such as DocuSign, Netflix, banks, and cryptocurrency platforms like Coinbase. To help protect your email accounts and data, we want to remind all Microsoft Outlook users of the built-in features available to mitigate this problem.

 

To access and configure these email filtering options within Microsoft Outlook, follow these steps:

 

Right-click on any email in your inbox or Junk Email folder.

 

From the context menu that appears, select "Junk," and then choose "Junk E-mail Options" (please refer to the screenshot below for visual guidance).

 

 

 

This will open the Junk E-mail Options dialog, where you can customize your filtering preferences, manage safe senders, recipients, and blocked senders, and make other adjustments to enhance your email security and inbox organization. We encourage you to explore these options and tailor them to your specific needs for a safer and more efficient email experience. I. Junk Email Filtering Options

 

Microsoft Outlook offers several levels of junk email protection. You can choose the one that best suits your needs:

 

 

No Automatic Filtering: No automatic filtering occurs however blocked senders are still moved to the Junk Email folder.

 

Low Filtering: This option moves the most obvious junk emails to the Junk Email folder.

 

High Filtering: Most junk emails are caught, but occasionally, some legitimate emails may be filtered. We recommend checking your Junk Email folder regularly.

 

Safe Lists Only: Only emails from senders or domains on your Safe Senders List or Safe Recipients List will be delivered to your inbox. All other emails will be directed to the Junk Email folder.

 

Additional Filtering Features:

 

In addition to the filtering options, Outlook offers the following features to enhance your email security:

 

Permanently Delete Suspected Junk Email: Instead of moving it to the Junk Email folder, this option deletes suspected junk email permanently.

 

Warn Me About Suspicious Domain Names in Email Addresses: Outlook will alert you if an email contains suspicious domain names in the sender's address.

 

II. Safe Senders and Recipients

 

Safe Senders Tab: You can manually add email addresses and domain names to the Safe Senders List to ensure they are never treated as junk email. You can also trust emails from your contacts, automatically adding them to the Safe Senders List. For large client databases, you can import email addresses from a file to be treated as safe senders.

 

 

** by enabling the Also trust email from my Contacts and Automatically add people I email to the Safe Senders List you can be more aggressive in your filtering Option. We suggest trying the Low and High options to find the balance you prefer.

 

 

Safe Recipients Tab: This feature allows you to specify recipients, such as group emails, that you do not want to block. Messages received from any email address or domain on your Safe Senders and Recipients Lists are never sent to your Junk Email folder.

 

 

III. Blocked Senders

 

Blocked Senders Tab: You can list email addresses and domain names that you want to block and treat as junk email. If you have a list of malicious senders, you can easily share it with your colleagues using the import/export from file option.

 

 

IV. International Filtering

 

International Tab: This feature enables you to block emails from specific countries/regions. You can choose individual countries to block or select all (with caution) to block all countries except your home country. Additionally, you can block emails containing specific encoding or character types from selected countries, but be careful not to block legitimate emails from your home country.

Synopsis of Recommendations:

 

 

Enable automatic junk email filtering in Outlook, selecting the appropriate level of protection based on your needs.

 

Utilize the "Safe Senders" and "Safe Recipients" lists to ensure important emails are never sent to the Junk Email folder.

 

Add suspicious senders to the "Blocked Senders" list and share this list with your colleagues when necessary.

 

Be cautious when blocking emails from international countries/regions, and use this feature wisely to avoid blocking important communications.

 

By taking advantage of these built-in features, you can significantly reduce the risk of falling victim to phishing scams and spam emails in your Microsoft Outlook account. Please remember to stay vigilant and report any suspicious emails to your IT department or email provider.
