I’m nearing the end of the first volume of a large multivolume, multi-index work. Now I have to figure out the best way to put the records from the master files to the separate volume files.

For the first volume, I plan to just Save As volume one, and then edit that file. But for volume 2, and 3, etc., (15 to 20 volumes eventually) what’s the best way?

I have complex locators that show volume, book, chapter, and page number. Sky doesn’t let me group on locator unless I include all of those bits, so it’s not efficient. Too many different chapters. I’m thinking of several options:

— color coding the records for the volume of interest (either at the end, or as I go along and hope I remember to catch them all) and then saving as another name and eliminating all the records that are not that color.

— Or use color coding, filter so only the ones I want are showing, and then copy them to a new file.

If I use colors to filter and show only the records I want, can I get Sky to Save As and save only those? Or will it also include the records that are filtered from view?

— putting into page order and save as, then just deleting unwanted records.

— opening a new file, putting the master file in page order, then copying large chunks of records.

Any of those will be time-consuming. The general index for volume 1 will probably have a bit less than 2,000 records, but the name file will have 5,000 or more (I kid you not), while the Places and Works files are only a few hundred.

I’m not clear what the Merge function does, as opposed to copying and pasting from one file to another. Would that function help me?

I think my question is about both what is the most time efficient way to do this, and what is the least likely to get screwed up. Maybe there’s another way that I’m not seeing?

Thanks. Happy indexing!
