Induction and Brown Bag Lunch rooms

I reserved rooms for both events today and here's the situation.

First, the Brown Bag Lunch:

We have the Almaden Hall, which is a kind of meeting room in the student
union. We have it reserved from 11:00 to 12:00 on February 10th with a
half hour before and after to set up and take down. We are allowed food,
however we are responsible for keeping the room tidy else there is a fee
(if I'm reading the paper right, cleanup would be 75USD if we left the
room messy). We can also rearrange the chairs but it is our
responsibility to put them back in order, or we will also be fined.

What we need, though is the names of all the representatives which are
coming, the campuses they represent, and a summery of their topic to
present to event services before our reservation is able to be
confirmed. We do however have the room and the timeslot reserved, these
are just things we need to do before we are able to actually use the
room.

Maximum occupancy is 60.

About the Induction:

Unfortunately, we were not able to secure the room in the engineering
building. Event Services do not know whether these rooms will be
available or not until late February. We might still be able to get it,
however not at this time. Additionally, we are not allowed food within
the room and I really don't know how the engineering people are going to
respond to us setting up concessions outside.

What we did get on reserve is the Spartan Memorial which is the small
chapel kind of in front of Washington Square Hall and next to the
fountain. It seats 100 people and we are allowed to have food inside AS
LONG as the food remains in the lobby area which, I peaked in through
the windows, could probably comfortably hold 15 people and in addition
it is an entire building with double doors opening into a little plaza
area with a lawn so we have more room.

I talked with Rose and she's unsure about using the room because it is a
chapel and we are not a religious organization. It's something we need
to talk about however do bare in mind that it's the only room available
to us in that time slot and reserving another room would involve
changing the date.

We have that room from 5:30 to 8:30 with setup beginning at 4:00
beforehand and afterwards till 9:30 for take down/clean up.

We can still try to get the engineering room, but we have to wait until
late February to see whether its available.

Finally, for both rooms, we need to get a final menu for the food we
will offer. I need to know the EXACT menu to take to Spartan Shops for
them to approve the food. No menu for Spartan Shops, no room.

the faculty meeting was moved to Monday. I know that Yvette and I are

Sorry to be responding so late - I just saw this email chain. 
 
Have you spoken with Sheila about coming to the meeting?  What are you planning on saying at the meeting? 
 
Unfortunately, I won't be able to be there, but I advise that you *do not* hand out the fliers to the faculty.  First, you need to *ask* the faculty if they can attend a bowling night on an evening, before they see it in print.  Typically, these types of events are arranged with the faculty beforehand, and they are during the day on a Friday afternoon.  Second, the faculty (especially the clinical faculty) may have a strong reaction to a brown-bag series that involves only one graduate program, and does not appear to include a discussion about SJSU's master's program.  If you want to invite SJSU to talk about their program as well, do not show them a schedule with three talks from JFK and nobody else.  Talk to me about who/how to ask.
 
If you want to go to the meeting to drum up support for the movie night or to solicit faculty to help lead them, or to assess interest in a bowling event, that's fine.  But trust me, we've been through this process before and the faculty do not tend to respond well to either of the two issues mentioned above...so don't give them a flier!
 
I'll be on campus tomorrow if you want to chat more about alternative ways to get their buy-in, and again, sorry for the late reply.

Jen,

Thank you so much for the feedback!! We'll follow your advice. Shiela invited us to talk at the meeting; we wouldn't have known about it otherwise.

We'd love to talk with you sometime this week about the things we have planned and get feedback and ideas, if it's no bother. We've been unsure of even what questions to ask and what issues we might bump into. I don't think Tuesday will work for Kristin - do you have any other days/times free for a meeting?

Hey all,
             Granted that we had so much trouble deciding on a meeting time, I know we all might not be able to attend a get-to-know lunch with Shiela. However, I would like the majority to. As such, lets try to coordinate a time. Everyday but Friday works for Sheila. How do the following times work for everyone?

Monday: 11:30-1:15 pm (11:30-12:30, or 12-1?)
Tuesday: 11:30-1:15 pm (11:30-12:30, or 12-1?)
Wednesday: 11:30-1:15 pm(11:30-12:30, or 12-1?)
Thursday: 11:30-1:15 pm (11:30-12:30, or 12-1?)

I personally vote for Tuesday or Thursday as I will be on campus, between classes. Can you please email me (not reply all) and let me know which you will be free for?

Also, can each person email me the professors that they visit regularly or have classes with?

For example,
 I do research with Dr. Feist so I see him regularly.
I have class with Dr. Eldred, Dr. Oliveira, and Dr. Trafalis.
Therefore, I could speak to any of these professors personally about events, etc.

I would like to get back to Sheila as soon as possible and possibly have lunch in the next few weeks. Please email me back at your earliest convenience.

I can do Wednesday early-ish (I have a class at 1:30), and T/R - I'll just have to close the store on those days since I'm on shift.
