Many of you are no doubt waiting anxiously for the online entries to
open and for some communication on what’s happening. Well, here it is.
This email will deal only with the online entry process, in order to
make the process smoother for you. For all other information please
refer to the website; www.sixfoot.com
Please read the entire email. I think we are unique in ‘coaching’
people through the entry process, because we want everybody to have
the same chance. As you will see I have put a lot of work into making
the process as simple as possible, given the limited spots. There are
no tricks and catches.
Entry Process:
• Like last year the entries will be split into three categories.
-Guaranteed, mainly those with 5 or more 6FT finishes and others as
per the list on website and on the online entry form. If you do not
qualify for this and use this category your entry will be cancelled.
If you are unsure about meeting one of the criteria, please email us.
-Veterans, those with 1 to 4 6FT finishes.
-Novices, those who have not finished 6FT before.
• All entrants are required to have qualified in the period since 1st
Dec 2010, either by a 2011 6FT finish or by an accepted qualifier in
the list on website and in the ‘drop downs’ of entry form.
• Unlike last year, the three categories will also be split into
completely independent entry forms (systems), with different URLs and
hyperlinks. These links will be on the website before the respective
opening of that category. Please make sure that you use the correct
link for your category.
• Guaranteed entries will open at 9am on Thursday Dec 1st 2011. This
will remain open for 36 hours until 9pm Friday Dec 2nd. There is no
rush to get your entry in here, take your time and if you are not
guaranteed don’t use this category “because I didn’t want to miss
out”. There is no upper limit to this category, but it is expected to
be no more than 250 entrants- the limits for the remaining categories
will be dependent on this total.
• Both the Veterans and Novice categories will open at 9am Saturday
Dec 3rd and will remain open until they are filled plus a ‘reasonable’
waitlist level is reached. The totals for these categories are
expected to be 325 each at this stage. There is a strong possibility
that the overall limit may be increased. If/when this is confirmed the
additional allocations will be drawn from the waitlists.
• Log on will be as simple as possible. The first time you visit the
entry site you will only be required to submit your email address. No
password is required at this stage. Your ‘personal details’ screen
will be auto-populated if you have used the email on ActiveNetwork
before.
Note: Last year some people tried to open multiple sessions, using
different browsers in some cases. This won’t speed things up, and is
more likely to cause conflict problems (if you are already logged in).
• Once you have logged on, you are in the queue and part of the race
limit. There is no need to rush through the system in 30 seconds! Take
your time to provide us with accurate information; it does not depend
on fast typing or computer speed.
Even if you are waiting to log on (clicked continue) you are still
queued in order of time stamp. Be patient- someone opening the link 5
minutes after you can’t jump the queue.
• On the ‘Personal Details’ page you can or have to:
-Change your password -if you have forgotten it- for later use
(optional).
-submit details regarding previous 6FT history and/or qualification
details and wave requests etc.
-If you are a 2011 6FT finisher you can also submit a better
qualification for wave allocation (this is recommended because we
don’t want faster runners behind slower ones).
• The next page is for your selection of T Shirt or Singlet and the
size. This is already included in your entry fee but you have to
specify what you want.
This page also has a donation box for donation to the 6FT Heritage
Trust. Whilst the race net dividend goes towards NSW RFS, the 6FT
Trust has responsibility for the upkeep of the track.
• The following page has additional merchandise and bus tickets etc.
Special Note:
Please try to make use of the buses for transport to and from Jenolan
Caves. Last year the parking at JC was full and disappointed
spectators were turned back towards Oberon. Car usage down Caves Rd
towards JC, the impact on buses, closure of that narrow road, and
traffic around Caves House etc is the main contributor towards
unmanageable logistics at JC, and therefore the limitation on the
field.
The possible increase to the entry limit mentioned before is 100%
dependent on the voluntary compliance of this, less usage of cars in
general and usage of the Oberon route rather than Caves Rd if you
really have to use a car. We can put on as many buses as required
(ticket sales) and can release some return buses prior to presentation
too.
• After checkout you will be given a link to the Every Day Hero
Fundraising website.
If you choose to register a voluntary fundraising page most of your
personal details will already be auto populated from the Active
Network information.
Both the race entry limit and the entry fee have not risen for the
last few years. In order to continue to generate a decent return to
NSW RFS we are asking for voluntary fundraising rather than increasing
the entry to market related prices, which for 6FT would be >$200.
Registering a page also keeps you ‘honest’ as your friends and
colleagues have a vested interest in your participation- besides, if
you raise over $500 you get a free 6FT adventure top the following
year, and if you raise over $1000, you get a guaranteed entry the
following year.
If you don’t want to register a page, simply log out. You are done;
see you on 10th March 2012.
Waitlisting:
• Once the respective entry limits have been reached we will close the
registration after accumulating a ‘sufficient’ waitlist in each
category. This will be queued in order of registration time stamp and
you will not be charged until you have been given and accepted a race
entry.
• The system will automatically allocate race entry spots to wait-
listers. Once there is a cancellation – by us or the participant
themselves- the system will send an email to the first person in that
particular category’s wait list. The wait lister will then have 24
hours to accept and process their entry, failing which their entry
will be cancelled and an email will go to the next in line.
• Increasing the race limit after entries closed will also result in
automatic allocation in bulk to the wait listers in queued order.
It is therefore in your interest to provide an active email address
that is regularly monitored, does not have ‘out of office’ messages
and you check that the emails do not go to spam. Unmonitored and ‘out
of office’ email addresses are an irritant to race organisers and no
sob stories on this will be accepted.
