Dear all 6FT’ers and prospective 6Ft’ers,

Sorry about a third email but it appears that the important hotlinks
to websites haven't shown up on earlier email. Please ignore the
earlier emails.

With one week to go, we were hoping to have the final instructions for
the entry procedure before now but are holding off until we have
confirmed that the online system can do everything we have requested
the ‘builder’ to do. The requirements are much more complex than last
year yet we want the user interface to be as simple as possible.

We are still working towards a ‘going live’ time of 9am Sydney time
(EDST), 1st December, 2010 and will advise if this is not the case.
The final pre-entry email will also include the detailed instructions.
If we feel that we can’t meet this deadline or that we will not have
had enough testing time, then we will announce a delay no later than
Monday.

Things I can confirm right now (to avoid speculation)

• The entry fee will include a mandatory race singlet/T-shirt (your
selection) and the entry fee will be raised to $135.00 (from $95.00)
to accommodate this. The reason for this is that at a 65% voluntary
uptake we have not made any money from merchandise for at least the
past two events, without even taking into account the huge
administrative and distribution burden on merchandise. With amounts
known, fixed and ordered in good time we are able to deliver some of
the revenue to our charity. The alternative to this would have been to
scrap merchandise entirely, so I hope this change is understood.

• Additional and other merchandise will still be available for
purchase as before.

• Refunds: Refunds for withdrawals will be given less an escalating
penalty in the following way. On or before 31st January -$20, on or
before 28th February -$40, after 28th February –no refund. There will
also be no replacements from waitlist after this and the entry list
will be confirmed.

• The race start limit is still 850 runners. However by the time
entries close we will have accepted at least 900 runners. We may even
take up to 950 initially (TBA), but will either way start activating
the waitlist replacement at the 900 level. We feel this will give more
people, who would otherwise have been on initial waitlist, certainty
from the start.

• Waitlist replacement: When entries drop below 900 the first person
on waitlist queue will receive an auto email from system and will have
24 hours to activate and accept their entry. It is in your interest to
provide an email address that is regularly accessed or make provision
for someone to check on your behalf.

• The entries will continue to be ‘refilled’ at the 900 level until
28th Feb, after which there will be no further replacements. We are
hoping/estimating that this will result in a start list of 850 (this
year there were 820 starters out of the 850 confirmed).

• There will be three ‘groups’ of entrants.

- Guaranteed entrants: All previous finishers of 5 finishes and above,
previous winners, last year’s top ten, winners/podiums from selected
qualifier events (as advised), RD discretions (inc some
internationals, potential podium finishers, sponsor entries, committee
members etc), race pioneers, previous RD’s, $1000 fund raisers, pacers/
sweeps etc will be guaranteed an entry subject to submitting their own
entry within 48 hrs (or later as per RD discretion). This is expected
to be no more than 220 runners (this is not a maximum).
You will be asked to select one of the above criteria from a drop down
list. If you do not meet any of the criteria and select one of them
your entry may be de-registered. If you are unsure that you meet the
criteria then enter in one of the other categories as below and argue
the toss later- we would prefer that you ‘know’ your status instead.
- Novices: There will be a maximum of 320 entries (plus 20% waitlist)
for novices (who have not done 6FT before) and who have qualified
within the time frame, providing they enter within 24 hours. If there
are not 320 novices by 24 hours then there will be no further novice
entries taken.
- Other veterans: Previous finishers between of 1 and 4 finishes will
make up the remaining entries e.g. if the numbers are as above ( total
900, guaranteed 220 and novices 320) then there will be 360 ‘other
veterans’ plus 25% waitlist within 24 hours.

Other information:

Qualification: I have fielded email requests from as far back as 6
months with excuses why the correspondent may not be able to do a
qualifier event before December, and/or why certain events are not
qualifiers.
Whilst we have done away with the undefined qualifiers and introduced
‘benchmarked’ qualifiers, we have also added in some new qualifiers in
every state. It is not our intention to disenfranchise qualifying
events but to bring some consistency between events. If you can only
run a certain event (for whatever reason) and you want to run 6Ft then
it is in your interest to work with us (along with that race’s
organisation if possible) in setting a benchmark against 6FT. This is
how all the new events were benchmarked.

For those that have not yet qualified there is an official qualifier
next Saturday (27th Nov) in Glenbrook (Lower Blue Mtns, NSW) with two
distance options which are very achievable in the qualifying time for
anyone that is concerned about finishing 6FT. (I am not associated
with this event).

There are also other qualifiers in WA, Victoria etc after entries have
been taken. This is expected to affect only a very small amount of
entrants (we have removed the fat-asses in NSW where most late
qualified came from). We expect to remove late qualification for 2012
when we should have much more qualifier races on our list.

6FT Finisher Database: Dr Ben Waterhouse (our wave allocation guru)
has produced a fantastic list of all previous finishers and this is on
the 6FT website (http://www.sixfoot.com/runnerhistory.php) for your
perusal. Please check that your details are correct on the database
because this will be used to confirm who you are for the purposes of
wave allocation. Things such as different spellings of first and last
name (especially maiden to married surnames) and finish times should
be checked. Please email Ben as per the instructions if any
corrections re necessary.
This database will hopefully be uploaded onto online entry system
prior to entries going live and if possible your ID would be able to
be used to access your info and ‘auto fill’ details, making the entry
process smoother. So please check if correct.

Email addresses: I will repeat this bugbear of mine. Last year many
people gave work email addresses that were not accessed at home,
during weekends, or on holidays (as happens over December/Jan), or
they gave secondary/tertiary web based email addresses (possibly to
avoid spam*) etc etc.
I don’t actually care what email address is preferred by the entrant-
your wife’s, mother’s, mother in law even ;-) -, but especially if you
find yourself on the waitlist, then it is in your own interest to
provide an email address that is checked every day.

Your email address provided is your communication channel with the
race and the online system and is one of the online system log-on
identifiers. If we or the system cannot communicate with you may miss
important information that will deny you a place in the event.

The waitlist replacement system in particular hinges on this important
aspect and we cannot lengthen the acceptance period without affecting
logistics simply because someone is “out of office”.

*For the record, there have been absolutely no spam issues with the
use of this on line provider.

Pre-entry tips:
- Check that your computer or network firewall settings do not block
you from the activenet website (http://www.activenetwork.com.au/).
Click on this link and click on “see & try’” and do a generic free
test registration.
- If you have computer issues you should make alternate arrangements –
public internet, friend, family. It is perfectly ok to have someone
else register you, or have your entry done by another entrant on their
registration, providing they have all your personal information,
correct email address, date of birth, qualification/6Ft history
details etc.

That’s all for now. In the next day or two I will get confirmation of
the status of the online entry build- as you can see from above it
needs to simplify a lot of processes- and we will test it and we
should have the final instruction email by this Sunday.
