Hello Linda.
It is a violation of FERPA for students to have access to other students personal identification number. This would include passing around a sign-in sheet for an SI session.
We have the student print their first and last name on our sign-in sheets. We also print the course lists for each of our SI targeted courses. These course lists contain the personal identification number for all of the enrolled students. We require our SI leaders to write-in the personal identification number for all of the students on the sign-in sheet by consulting the printed course list before the leaders submit the sign-in sheets.
Sometimes students not enrolled in the any section of the targeted course attend SI sessions. And sometimes students do not write their name legibly. All in all it seems to work about 99% of the time.

We have students print (hopefully) their names on the sign-in sheet then SI leaders turn the sheets in to the office. Office staff run course rosters which include the ID then staff enters the data. We have never asked students to include their id.

We had the same problem at our institution. We were told it was in violation to have students write their ID on a sign-in sheet, which was passed around for all to see it. If there was a way students could add their ID, such as an electronic swipe, where no other student would see the other ID’s, it would be fine. We then tried going with the last 4 of the ID numbers and were told again that even that was a grey area and could be a FERPA violation. Last semester, we purchased the new 4.0 version of Tutor Trac. It has a unique SI batch visit entry that pulls up the class rosters. So all we need is the students name, no ID number anymore. This has made collecting data so much easier! We go in select the SI course number and the roster comes up with every student enrolled in the class. So all we need to make sure of now is that students write legibly so we can read it!

I have been told the same as well. The way we gotten around the FERPA issue is that we use scantron’s to pass out to each student. The SI Leader will then collect each scantron from each student to turn them in every Friday.
This has helped us tremendously.

I’ve looked into this a bit more since posting a few weeks ago. Check your university’s definition of directory information, for under FERPA, directory information can be made public. For Clemson, student names and e-mail addresses are included under that rubric, so we can pass around a sign-in sheet that asks for their name and their user name, the “lwhisle” part of my e-mail address.
