SI Leader Responsibility for Responding to Student Emails

Good afternoon everyone:
I am new to my role supervising my Department’s SI program.  In talking with some leaders, it appears that they have been routinely responding to student emails for additional assistance/clarification.  This seems to be facilitating the Dependency Cycle that SI aims to break.  How are you training your leaders on how to respond to student emails or student questions outside of the session?

We have been seeing this on our campus as well, especially since the pandemic first hit. On one hand, we want the Leaders to be responsive, supportive, and empathetic. On the other hand, attendance at the group sessions is generally down and individual outreach/emails is up. Our theory is that students in general want help ‘on demand’ and don’t want to wait for a structured, scheduled session. We had some success when one Leader said she was getting peppered with emails the night before an assignment was due, so I suggested she tell the group she’d be available from 7:30-8:30 remotely – essentially offering an additional session - but that after that, she’d be focusing on her own priorities. Boundaries seem to be a bigger and bigger issue. I’ve also cautioned them, when hiring, to think twice about giving out their cell phones for this same reason.

I generally don't allow the students to contact the SI Leaders outside of sessions. I train them to direct the students to other resources when they do find their emails, like the instructor or our peer tutoring sessions. You can't really facilitate sessions via email and I think it blurs the lines too much when they're answering content questions over email. It's also hard for the SI Leaders - we don't pay them to answer emails but they want to help out the students so we've found the referral system a good solution.

We don’t for the reason you suggest. And our HR doesn’t love hourly workers doing email response one-offs for tracking purposes.  I tell the SIs to specifically tell students their mean boss won’t let them answer emails, and to visit their weekly office hours, if they can’t attend the SI sessions, to ask questions.

We have always required our SI Leaders to offer drop-in tutoring hours in addition to their sessions (1-2 a week). Between sessions, class attendance, and the drop-ins they typically did not get emails. 

But after we moved to remote learning SI leaders suddenly received regular emails. We included answering them into their drop-in hours. They are tracked in their weekly telework records.

We encourage active processing in tutoring sessions-referring to notes, course materials and hands on problem solving. If a student is expecting an SI Leader or Tutor to give them a quick answer during tutoring hours or via email they will be disappointed. Our stand-alone tutoring centers don't do that either--it's just not best practice. 

I think that allowing SI Leaders to respond to student emails builds rapport and trust, which is especially vital if the class is remote. If handled carefully by the SI Leader answering student emails needn't contribute to dependency. In fact, it's a great opportunity to coach students on the use of campus resources and encourage their attendance to SI Sessions.
