Tutor Scheduling Software

Hello All,

For those of you who also run traditional tutoring programs (my new assignment has me working over our tutoring program) where students need to sign up for a tutor (as opposed to drop-in tutoring) what do you use to schedule sessions/track attendance?

Students can request a tutor for weekly one hour appointments. For the most part they have tutoring at the same time and same day each week, though they can reschedule if needed. They also need to meet with the same tutor each week. 

Our current program allows students to schedule via a calendar that shows all the tutors in a particular subject and their hours of availability. At the end of the session the tutor is able to pull up a session record where the student can type their ID number (which remains hidden to the tutor) and then the tutor can write a brief summary of the session. 

We're trying to do a little research to see if this is the best software program for our tutoring program. We wanted to see what other universities with like tutoring programs are using.

Aloha!

My name is Mary Mercurio, and I am the Supplemental Instruction Coordinator at Azusa Pacific University.  We are using TutorTrac to schedule and track both our Supplemental Instruction sessions and our tutoring appointments.  Students can register for both programs online, and schedule appointments for SI sessions or tutors online as well.  

We've had the software for about a year, and for the most part it's working well for us.  I would also like to know what other universities are using, or if any of you also have TutorTrac and have tips or ideas you would share with us to make our operations more successful.

Hello,

 

The tutoring centers at Clark College currently use Tutor Trac, but we have never been able to get it to work properly. We are in the process of replacing it with a proprietary system to better capture student data. Previously I worked in a writing center which used Appointment Plus. This worked very well and allowed us to pull data easily. I’m not sure how it would work in a larger center or with multiple locations, but it might be worth looking into as it can be customized for specific needs.

We are also using TutorTrac to input attendance at SI sessions.  Our program is pretty new and small, so it is manageable to have the SI Leaders pass around paper attendance logs in each session and submit those logs to me as soon as they can following each session.  I then use the batch visit feature in TutorTrac to enter the attendance (which involves simply checking off names on the roster that TutorTrac pulls up).  So far our SI Leaders have been very good about doing a head count and making sure that matches the number of names on the list, and of course I’m very careful when inputting the attendance data into TutorTrac, so I’d say our degree of accuracy is very high.

Hello everyone,

Right now we don't have a software to input, track, and/or analyze our data.  We use an excel document to input, track and analyze students.  We have AccuTrack in for our other tutoring, testing, and advising services.  Does anyone use AccuTrack for SI?  If so, how effective is the program?

Hello
We are currently using a customized microsoft CRM program to collect and analyze our SI data.  We are currently entering attendance from sign-in sheets but the program allows for import from any CVS file.  We just don’t have the hardware at present to have students swipe in at sessions.  The company who did our customization set up a website  (SISUCCESS.com) for my presentation at conference if you are interested.

Hi, all. 

We have been using TutorTrac at the University of Dayton for several years now to schedule and track our Supplemental Instruction, Walk In Tutoring, and Tutoring by Appointment services.  We also use this program for tracking all of our office visits, disability testing, global learning support sessions, coaching sessions, team meetings, and trainings.

We have set up separate center profiles and trained other UD departments on TutorTrac for their data management needs.  In short, TutorTrac has supported our office (and other campus partners) in data-driven assessment and decision making. 

Over the years, we have created our own guidebooks for our users which include specific directions and screenshots.  Creating demo videos for data entry using programs like Snagit or Camtasia are helpful to make sure data is entered in correctly.  We always make sure we add captioning or an alternative format to ensure accessibility of these formats. 

This fall, we are moving to iPads for logging students into our Walk In Tutoring service.  We are also heavy users of Google Forms for on-site satisfaction/benefit data collection.  Since these forms are powered by Google Analytics, they can be a huge time saver for reports.  We also use these forms to capture what strategies are staff are using in sessions.  Having this data in real time allows us to better understand potential training and professional development needs.

Dude,

This sounds fabulous.  Are you willing to share your manuals with other schools?  Do any others on the list have manuals they'd be willing to share?  I know each school will have specific needs and processes, but I know I would benefit from seeing how other people are using these data management tools.  The responses to this thread have shown me that TutorTrac can do a lot of things that I didn't know it could do!

Hi,

I have attached an example of our student instructions (PDF version) for
our appointment tutoring services this summer. We include this document
with an e-mail that summarizes the same process for students.

This summer, we are recreating our video demos using Snag-it for the the fall (they have a
free trial version). Of course, we have several different sets of directions based on the service, process, and audience (Tutors, SI Leaders, etc).

I would be happy to chat with colleagues and even do a Join Me session to highlight some of the other resources we use.  There are some features and tools I can show on screen that won't disclose student information.

I also oversee both a traditional tutoring-by-appointment program and our college's SI program. At this time, students schedule tutoring times with their tutors, and the tutors enter session records via Google Forms. Our Writing Center, however, is much better established and began using WC Online about two years ago, which works very well for them. I'm looking into getting either WC Online or TutorTrac for our content tutoring program, but our Registrar's office has some concerns about the data TutorTrac would want access to. WC Online is less robust than TutorTrac, but more user-friendly and self-contained.
