I am going to have to work late tonight and will not be able to attend the Shelter Board meeting; however, here is the info I got from Kimberly about handling check-in, check-out, etc. the day of the auction, and a bid.
She does not work with MaestroSoft, the system the gals set us up with last year. She works with a few others, and prefers Auction Tracker, which we used in years past (and which we already own). There was an issue in the past with multiple users not being able to access Auction tracker since we’re not all networked, which could be solved by having Auction Tracker host us. There is a one-time set-up fee for that, which she believes is $175, plus a charge of $75/month for the months we are actively using it (probably four) or $750/year. The other down side to Auction Tracker is that they do not yet have a set-up that creates a website for the auction the way MaestroSoft does – although that is in the works. She just doesn’t know if it will be up and running in time for us. Sooooo, we would need to figure out another way to get ourselves a website again if we went that route. I have a friend who would probably be willing to create something for us; you can see an example of the website he created for himself here:

His girlfriend wanted to be involved in the auction last year but my idea to have her handle the data entry didn’t work out with the way Sharon et al were handling things; this year, I’m guessing she’d still be happy to help out, and be one of the three people Kimberly trains if we go with AuctionTracker (which is my way of saying I’m pretty sure Eli would do this for us, that’s the kind of folks they are).
I’ll be honest, I don’t care for slick, and I found last year’s auctioneer to be slick, so I’d just as soon dump MaestroSoft and tgo back to AuctionTracker (taking advantage of the hosting service so a few of us can access it) so we can use the volunteer auctioneer, as long as the $ pencils out. And I’m sure Kimberly would be happy to answer any additional questions you come up with – and I’d be happy to be the one to call her with them if you let me know what they are.
Btw, Ken Schram has not replied to my facebook message, which does not surprise me – he probably gets a lot of them and ignores them all. If Scott has not located his cell phone number yet I will try again, just let me know if that’s needed.
Have a good meeting! Whenever you choose to hold the next one I will probably be able to make myself available. I just have too big a deadline to meet today.

The quote does not include the cost to have Northwest Software host your software or the online auction. I've also attached info on having Northwest Software host your software and info about on-line auctions. While thinking about it, I also attached info on Express Pay. If you go with our vendor, there is an interface that is used to automatically sync guest info with their credit card info. This will save you LOTS of time post event processing payments--it only takes about 10 minutes to process guest credit cards, mark their account as paid and print out a final copy of their receipt to send to them.
