setting up google groups and google folders for teams

Google Groups  - I think this is only necessary for larger teams or officially sponsored teams. Though we have a lot of projects going on at the moment most of them are just 1-2 people so having a forum seems like overkill. The only two teams that may need to get set up are the Local Free Web and SF Social Services/Open Referral. I can just talk to them to have them set it up next week.

Google Folders - I think this is a good idea. I can ask people to to this as part of the weekly check-in since I'm already asking about what notes software they're using. However, I would like the folder structure to be simplified. The "Parked" folder is self-explanatory. But the "We're Hacking" vs. "Pipeline" vs. "OSP" is not. And from their point of view there is none - these are designations for the core team to use. I think we should get rid of them and just have active vs. parked projects.

Sorry, Judy, don't mean to horn in. I think it's just easier since I'm already talking to all the teams to just do this at the same time since it's relatively quick and easy.

No need to apologize; I appreciate that you've already got systems and relationships in place.

Have you gotten any more information from the teams on what PM tools they're using? Getting all the larger teams on to Google groups/tools is a great start. We are testing the idea of using more robust tools to capture the project history, ramp up newbies, and assist the core team. I'm happy to sit in on this part of the conversation with the teams if you think it would be helpful.

Hi Judy,

I think most groups are using Google docs to take notes. None of them are using task oriented or tracking software. Most groups are still in discovery so maybe it hasn't come up yet. I will ask next week.

My preference is gather info first, determine if there is a problem, then work with the teams to find a solution. Most of them are stretched resource-wise when it comes to project mgmt so I'd rather wait for these kind of issues to come to the forefront before asking them to try out some new processes.

However, if you want to experiment with more robust tools then I think the new Sugar Mapping team might be a good place to start. This was started by Peter and it's fairly new. They seem really gung-ho and may have the bandwidth to test out some new processes.
