I believe a querry was posed in our IAOMP journal a year ago. The issue was the wisdom of organizing the conferences in fancy hotels at fancy locations. I remember attending the Agra conf in November 2005, at which time we were put up in Hotel Jaypee Palace. We arrived at Agra Cant staton at 0430hrs and got the key of our room only by 1300 hrs! All the interevning time we had to spend in a transit area in some hotel inside Agra. I dont think anybody would have minded if the arrangement would have been made at some inconsequential, yet decent hotel. Also, even if the accommodation IS provided on time, most of the people arrive with their families and soos as they get their room key, they start preparing their tour itenerary, the lectures be dammed! It really is a tragedy to forgo the lectures of such eminent people. I think something seriously needs to be done on this issue.

Dear Dr. Jyoti, Dr. Bhagwath & all members:

The Coorg conference seems to have generated more complaints than
kudos, and that is understandable from Dr. Jyoti and all the PG
students' perspective. However, from the organizers' perspective, I
believe their efforts were genuine but misdirected.

Going by the usual norns, PG conventions are a 2-day (& 1 night)
affair, while the annual conferences are a 3-day/2-night event.
However, in the last few years, the numbers of PG students have
swelled hugely, and demands of time, space and comforts have gone up.
While the organizers of the Coorg conference were perhaps expecting
200-300 delegates, the registrations were far more than this. As a
result, the logistics were entirely inadequate to cope with the
numbers. It did not help that Club Mahindra Coorg were neither
equipped nor willing to help the organizers handle the delegates'
comforts and other requirements, and the incessant rains only made
matters worse. The imposition on the organizers by their institution
to have all delegates visit the college (situated about 40 km away),
also meant time wasted and difficulties faced by the delegates. In
that scenario, perhaps a 3-day/2-night PG Convention would have been a
better option, and can be considered for the future.

It is another matter that the registration fees charged were higher
than expected, and I suspect that is a major factor generating all the
complaints. Delegates certainly did not get value for money. If the
delegate fees were half of what was actually charged, I am sure the
number of complaints would have exponentially come down too. Be that
as it may, the charges were approved by the IAOMP executive committee,
and it is too late to grumble about it now.

Dr. Bhagwath, as the Chairman of the Organizing Committee of the 2005
conference at Agra, let me first apologize to you for any
inconvenience caused 5 years ago. Having been instrumental in
organizing 3 IAOMP national conferences in a row (2003 at New Delhi,
2005 at Agra and 2008 at Kolkata - all at "fancy hotels" as you call
them), I am well aware that delegates always face some inconveniences
while attending conferences - it is the job of the organizing
committee to attempt to minimize them as far as possible. However, you
will understand that individual attention to each delegate is not
always possible. The logic behind choosing "fancy hotels" is to
provide you, the delegate, with some more comfort and convenience, as
well as make available large spaces to accommodate all the scientific
sessions. Club Mahindra Coorg certainly lacked the space to
comfortably hold the scientific sessions, but then, as I said, the
organizers at Coorg never anticipated such a large turnout. In any
case, the program was set at Agra in such a manner as to enable you to
attend the maximum possible sessions, which again was not the case in
Coorg.

"Inconsequential yet decent" hotels which can provide space for
scientific sessions, do not exist. When convention centres are used
(such as the India Habitat Centre at New Delhi in 2009), the
accommodation by necessity is spread out, and delegates face the
inconvenience of travelling to and from the convention centre,
resulting in complaints again. Dr. Ranganathan will surely confirm
this, since his original plan of hosting the December 2010 conference
at the Chennai Trade Centre was scuttled due to demands by members to
host the conference in-house, thus pushing up costs and delegate fees.
So who is to blame? The organizers of the conferences, or the members
of IAOMP who expect and demand those "fancy hotels at fancy places"?
