Hi guys!! So earlier today Melanie M. and I were looking into a few places for the banquet and decided to call Lotus Thai in Hillcrest and got a space reserved for next Friday from 7:30-9:30pm! Right now the lady that works there and I are working out the prices of the menu which as of right now is: 

Appetizer:
Lotus Thai platter (comes with three different appetizers that are a mixture of vegetarian options and meat options)

Entrees:
Vegetable green curry with brown rice
A mango chicken platter (similar to orange chicken) with brown rice
Vegetable pad thai with tofu
Chicken pad thai
Beef fried rice
Vegetable fried rice
(and possible Tom Kha soup depending on prices)

Dessert:
Sweet sticky rice with mango (and if that's too expensive then they also have coconut ice cream and green tea ice cream which is super cheap)

Tomorrow she will be calling me back with a quote on how much it'll all cost but I am holding pretty firm to it being about $20 per person so members only pay $10. She is pretty flexible and I'm sure we can work it out to be in price range but I will know for sure tomorrow!

will Stephanie get a mug as well or a different gift? $12 is a great price I think. Also, do we know if Stephanie is coming to the banquet for sure? 

Stephanie please let us know if you are for sure. Lets get on that google doc as well (since it's already there we just need to update info if we haven't already).

Thanks Melanie. Please let us know the information ASAP. I have been getting a lot of questions regarding the event that is supposed to be this Friday and I don't know what to say to them.

Crossing my fingers that the restaurant gives us the okay. I have a question though. If we are subsidizing $10-$15 for our members who will be paying the check that we are going to get on Friday? As you all know, using our money is a reimbursement process. So, is somebody going to pay for it and get reimbursed??? Last year Brian paid for the check.

Hi everyone,
So I called the restaurant again and they said that the menu we asked for, along with drinks, was $25 per person. this includes tax. they just need to know how many people will be going by wednesday. 
I asked what needed to change in the menu to make it $20 per person, but since the lady in charge of our event is at another job of hers she would have to talk to her boss and call me back tomorrow. 
So for sure they have a spot for us and we will have it 7:30-9:30. We can tell the members that we will pay $10 or $15, which will come out to $200 for 20 if we pay 10, and $300 for 20 people if we pay 15. I really want members to only pay $10. I feel like it will encourage more to go. I say 20 people because im really not sure if more will come. 
If its 25 however, considering friends and family, it would be $250 if we pay 10 and $275 if we pay 15. 
Now all we need is to decide how much to subsidize. 
Also, they validate parking, so its free for 2 hrs.

I think that is good. We have enough funds I think to make it $10 each, but I texted Alecks so she should be getting back to us for a definite answer on this. Honestly, I wouldn't expect family just based on previous years and late notice, which is fine. Thank you melanie! I'll be sending the email tonight

In my honest oppinon, I think paying $15 is too much for our budget. I would feel more comfortable if we paid for half ($10).

At this point in time, the less money the members have to pay the better it will be for us because we are pretty much asking them to attend an event that will take place in 4 days. I think $10 person is fine if we can afford it. we just need to get on board with the price ASAP so we don't tell invite our members 3 days in advance.

I'm also in board of having them pay only $10 if we can afford it. That way if we do get the price down to 20 like I asked, which I'll confirm tomorrow, then we don't have to change any info with the members. And like Andres said people would be more inclined to go.

Everything is up to date. Thank you Haley and thank you guys for working towards the finalization of our banquet. 

Haley, the points are updated for our members. I don't think we should give points for the perks fundraiser since it's after our banquet & last meeting. We should have all active membership letters finalized by our last meeting. 

Let me know if you disagree with this please.

Im just happy thats all finalized!
The last meeting is the wednesday of the fundraiser week. I know its not ideal, but I think it would be good to offer a point at least for the monday of the fundraiser.
 
Stephanie would you be able to print them tuesday? or is it more convenient to send you the finalized list in the weekend?
Im open to anything.

We said at the meeting we would give points for the first 2 days of the fundraiser until the last meeting. We also said we were going to give a point for the last meeting for ppl who are 1 point away and Sean would email them asking I if they are coming to the meeting or not and telli g them they are 1 point away

Hi everyone!
Last update, we are confirmed with the restaurant for 27 people price $25 per person, 7:30 to 9:30. If more people happen to come/sign up they will be served and price will be the same.

PS. We were already confirmed but I had asked if they could lower the price even more and they needed card number and all that, so that’s what I did right now. 
As of now HeadSTRONG will have to pay $405. :s
It may be a lot, but we have the money and it kinda had to be done considering the circumstances. 
Also, are Katie and Kristin and their guests paying? We should consider that, since most of us are probably on the same page that they shouldn’t. 
What do you guys think?

Katie + Kristin + Stephanie + their guests shouldn't pay. that's my personal opinion. 

Are we planning on using HeadSTRONG or CHHS funds for this event?

I agree with Melanie P. & Andres. I do not think they should pay. They are our guests that we invited. As for Stephanie, even though it is $10 she is our advisor. I don't think she should pay either. I don't know how we're doing on HeadSTRONG funds but if we are able to, I do believe we should not ask them to pay as courtesy.

I am not sure if anyone has spoken to the restaurant about an agenda or their timing for the meal, but I want to put together a general timeline of things for the night. Any suggestions are welcome.

7:15-7:45pm - members and guests arrive and get settled
7:45pm - Opening remarks[Sean] (welcome our guests: Kristin  and Katie)
7:45-7:55pm- Guest speakers
7:55-8:15pm Appetizers (Hopefully will be ready then)
8:15-9pm Dinner
9-9:30pm Closing words[andres] -thank you cards, gifts, pics, goodbyes

I was able to talk to her about it, yes. So technically speaking Kristin is the founder and Katie helped out so much that Kristin considers her a cofounder. when we introduce them, we should say something like this: 

"I'm excited to say that the individuals that created headstrong are here tonight with us. I'm first going to introduce Kristin Davi the founder of headstrong who will then later introduce her co-founder Katie Gaston"

Kristin will talk first then Katie. They will talk for about 10 minutes tops.
