Banquet committee!

Hi guys!

Sean and I discussed starting a banquet committee to start planning for this years banquet. I will be apart of the committee since I'm responsible for our funds. I just wanted to see who else was interested in helping me plan for our special occasion =) Please reply as soon as you can!

Well unless anyone else decides they would like to be involved, I want to get things going on this and organize a meeting with you two (Alecks and Haley), Melanie and Myself. 

When would you all be available to get together and starter brainstorming ideas?

I can meet Tuesdays after 4, Thursdays after 1, Saturdays and Sundays whenever. Or if need be, I can meet Monday, Wednesday, Friday after 5:30.

Sundays I’m free, saturdays usually after one or 2, mon and wed after 5 and before 12, and Tues thurs from 2 to 5 and after 7

We should have out banquet on the 2nd because that's when Kristin and Katie (the 2 ladies who started HeadSTRONG can make it) and I am talking to them and I really want them there since we're having this banquet thanks to them! So that's why the agenda says 2nd!

I am also confirming for the banquet committee meeting on the 31st of March. Haha. 

In regards to the banquet. I want everyone to be there but since the winter retreat the days of the 2nd and 3rd were our options and have been on the schedule all semester long. The 2nd is also the date in which we could have the headstrong founders come make a speech. If in the end most of the current and future officers can't go on those date we choose, I would consider moving it. Not to mention I am assuming people either have class or a final on that Monday so a Sunday night event wouldn't be great for attendance. What is everyone else's schedule looking like for the 2nd and 4th?

Besides the time we need to finalize a place. If we are doing it around dinner time, we can get smoothing close by campus or not? I am open to either option. I am good for 6 or 7. Alecks and Haley, are you two busy at other times or is it more of a preference? Also if we arena getting food, how does the library sound?

I'd prefer to stick with the living room it's faster to park and get there and all. I also think we should stick with 7 just so as many people possible can go.

Andres, do you know how to import the google doc into dropbox?? Is that even possible? I shared a "banquet" folder with you guys on dropbox...but its empty right now haha

Because google doc works via a link, there's no way to save it as a file and work on it as a google doc otherwise it would just be another file saved on Dropbox. 

In other words, we can just create a document and put the link to the google doc on it and anyone who opens up that document on Dropbox can click on the link and access it. I would also recommend keeping the link on an email so we have 2 places to access that link.

I updated the google doc. Sean, would you like me to send an email out to the alumni you listed ((we need Kayli Gibb's email address)) today with the date and general info so that if they do want to come they have adequate time to plan. And once we get the location, I can update them. Let me know.

Yes I think that's a great idea! Can we use HeadSTRONG funds for that? Any ideas of what to get them? I could try to make HeadSTRONG mugs on the photo thing I use online. I've made a mug before and they turn out good

I definitely agree with the mug idea! And I wouldn't mind using headstrong funds for that, it's probably not gonna be that expensive. We should vote/finalize that Wednesday so everyone's good with that, I'll put it in the agenda.

Ok sounds good! I can do a pick up in store it's through walgreens, and they can do it same day or next day which is good too. Just gotta find a good pic. Andres or Mel, would you have time to stop and bring one of the mens shirts to the meeting? I could take a picture of the shirt and crop it

Kayli Gibbs is kayli dalton, the pat president. So I am sure we probably have her email. Also I am good with getting them a gift we just have double check with Alecks about the budget. Because depending how much we spend on the banquet we may not have a lot of money left. Am we want to leave some for next year.

Questions about the banquet…

1) Do we have a few restaurants we are looking in to?
2) If we do not have a location by today, when and how do we plan on announcing about it to our members?
3) Are we paying for half of our members like we did last year?


Also, it is too late to request catering to use different food on campus. It's usually three weeks in advanced where we need to request because SLL needs to approve it. 

I personally think we need to figure something out by today so that we can announce about it tomorrow. It's already next week. This is very last minute.

We currently have $1,334 in our account. Depending on how much we're spending on the banquet, we can figure out if we have enough for gifts.

I've also updated the google doc but I'll also mention it here, in order for me to turn in a check request (for the funds from our account) I need a receipt for either the restaurant we're going to or the food from the catering company. Just thought I'd reiterate that for clarification purposes.

I’ve sent out couple of emails, to restaurants in the college area, hill crest, and old town. Im still waiting to hear back. Ill let you gys know as soon as I hear anything.
We have reserved spaces hear, I guess if we can’t find anything then we should get food from Aztec catering. But that would be if we really don’t find anything.

Kristina is right. We need to do all this ASAP. If you dot hear back from these places today can you give them a call back and check in on it again? We cannot really afford to sit and wait for people to come to us when we are running out of time. I really do not want this to be a crappy event so the planning needs to get worked on ASAP. Have you talked to those places Melanie? If you cannot call them tonight maybe I can give them a call. I am just now getting worried about his event because it is supposed to be our biggest event yet it is the one planned out the least. Let me know what I can do to help. I already talked to Kristin and Katie and they are down to go and they will each be bringing 1 person with them. They will also talk about HeadSTRONG for about 5-10 minutes unless you guys think they should talk more which in that case I know they can. Let me know please.
