Garden Meeting Notes: Oct 19, 2024

Committee Election Updates

We broke into groups based on the committees that people elected to be on in the gardener contact forms. See the Discord channels for details on who is in each committee. Committees discussed plans for the year, the communication preferences for the groups, and nominated leaders for each of the committees. See below for brief summaries of what was reported back from the groups. Also included are the nominated and elected committee chairs according to the Garden By-Laws

Compost, Trash, and Recycling: Committee Leader = Billy 

  • Reviewed the compost plan and schedule

  • Bins at the front - Plans for removing trash and getting rid of extra bins

  • Testing discord to make sure the communication will work in the new channel for this group

Outreach & Communication: Committee Leader = Ariana 

  • Map of the Garden - Bob to send to Billy and Ariana   

  • Will work on partnering with other orgs for outreach

  • Libby wants to do a “Friendsgiving” event - Will look into pairing up with the neighborhood group that is already doing dinners at the garden

  • Social Media Accounts: Ariana will continue to manage these. 

  • Welcome Committee - organizing a process for assigning the buddy

    • Ariana will sync with Bob on this process

  • Signage - need updates - touch base with Sam on discounted signs. 

North Pollinator: Workgroup Leader Caroline

  • Assign Water schedule and Backup Water responsibilities

  • We discussed the need for the 2 pollinator garden committees to help in other areas since the groups are so big. 

  • Decided that the other cultivated public areas (welcome garden, prairie, and butterfly beds) would fall under the respective North or South committees. 

  • Orchard will be its own committee. Sam and Madaline will touch base with Andrew on this since they have been helping with watering the orchard

South Pollinator: Workgroup Leader = Jeremy 

  • Walked around the South Pollinator Garden to plan work that needs to be done in this area. 

  • Pocket Prairie will be considered part of the South Pollinator Committee

  • They still have a WhatsApp Group that works well for communicating fast. 

  • Need to talk with Missy and Deb about the Pocket Prairie 

Shed & Inventory: (Vacant Committee Head) 

  • No committee members were in attendance  

Maintenance: Workgroup Leader = Randy (not attending but nominated and elected) 

  • Need additional discussion on what falls under this committee 


Other election items: 

  • Corey will continue to serve as President/Treasurer/APF Liaison

  • Bob will continue to serve as Plot Coordinator

  • Madeline volunteered to serve as the Volunteer Coordinator to manage hours (Thank you!) 

    • NOTE: We still need volunteers to help with Coordinating Volunteer Work Days

    • This will be a joint effort between garden leadership and other committees for now.  

    • Corey will sync with Madeline on volunteer sheet management. Jim also helped with this in the past and may be able to help with handoff. 

Other Discussion Items

  • Discord: 

    • Check in on how the transition to Discord has been going. 

    • Question: Is there a way we can have resources pinned in each of the channels. 

    • Reminder: The website has a lot of resources shared on it already. 

    • Reminder: Change your alias to be your real name and plot number. 

    • Sam can help with other questions and problems that people are having in the #discord-feedback channel. 

  • Weeds and Rubbage 

    • Challenge to get things over to the spot that we are using now

    • Consideration on additional spots to place rubbage

    • Need more signs to direct people on where to place rubbage (plants material that can’t be composted) 

    • Corey suggested looking into a mechanical shredder that could be used to break down more of the material. 

    • We’ll defer until next month after we have time to get more input. 

  • Orchard:

    • Watering Schedule - Madeline and Sam have been watering the trees some. 

    • Andrew and Valeria are the two gardeners that are listed on the committee 

    • Requested that we purchase a soaker hose to help with deep watering of this area. 

    • Donated Fig Tree - One was offered by Bryan. Do we have a place to plant this? 

  • High Water Usage: 

    • Note, we continue to get high water usage alerts. Please conserve water as much as possible and watch for leaks.

  • Upcoming Dates

    • Next Garden Meeting = Nov 16

    • Next Volunteer Day = Nov 2 (It’s My Park Day

    • Corey will have all dates on the Garden Calendar this week
