Minutes of SH3 residents meeting

 

Place: SH3 entrance portico. 

Date : 21/08/2014

Time : 9 PM

1.    Formation of new TAC:

New DRDO TAC (Township advisory committee) is formed which is having members from SH-3 . Mr. Sachin explained that the TAC is now headed by LRDE. Now most of the complaints can be taken directly submitted to TAC.

Also it has been discussed to get names of all resident who are member of TAC sub-committees. The residents who are members of TAC from SH-3 are requested to enter their names in the circular attached with monthly collection register.

2.    Increase in monthly contribution:

The last increase in monthly contribution was made in December 2012 and it is proposed to increase from September 2014 (after more than 20 months since last increase). Other important facts regarding this increase are as follows:

The average salary given to each security guard is around Rs.7000.

It has been proposed to increase the average monthly salary to Rs.8000/- each, which requires an increase of approx. Rs.50 per month per occupant. But, as of now we do not have sufficient buffer collection to cater for any contingencies and impending annual bonus payment to all 3 security personnel.

During this meeting it is was mutually agreed by all the residents present in the meeting, that the monthly contribution will be increased to Rs 300 from immediate effect which will cover all the aforesaid expenses.

3.    Maid issue:

Some residents raised the issue of Domestic helps charging in exorbitant rates for washing and cleaning. Mrs. Reshma has been requested to get EMU Rates for Domestic help if any. Accordingly the residents are requested to strictly adhere to these rates. If no such rates are available, these rates will be decided by SH 3 residents as per current market rates in next general meeting in concurrence with EMU.

4.    Cleaning of Car and Two wheeler washing:

It has been observed that many resident are asking for car wash in between 7 am to 8:30 am. And it has become a pertinent habit of many residents to ask for car wash during this time only, which affects availability of security during morning time.

Hence forth Car washing is not permitted from 7 am to 8:30 am and security was directed to remain present at their place during this period.   

5.    Hygiene and cleaning issue:

It has been observed that some residents are throwing baby diapers and other garbage from their balcony and corridors to ground floor. These type of activities will not be tolerated and will be immediately reported to EMU through written communications requesting immediate action against the resident.

Some residents are keeping garbage cover overnight in corridor, resulting in spreading of garbage by dogs/rats. It is mentioned again-again but still some residents are repeating the same. If found again strict action will be taken.

6.    Formation of new committee & Handing over of charge to new Secretary / Treasurer:

The Following members have volunteered to form a team to handle various issues regarding SH 3.

Mr Bipin Kumar has been nominated as new Secretary/Treasurer. Mr. Sachin handed over the charge to him. Volunteers are welcome to join the team.

7.    Updating of Google group:

The Google group scientis...@googlegroups.com is active. All SH3 resident are advised to join the group.

8.    Online complaint monitoring:

A notice regarding the newly launched Online complaint monitoring is posted on the notice boards. All the resident are requested to take note of this and make use of the website mentioned in the notice to register complaints regarding SH 3.complaint should be categorized as per GE(B&R) or GE(E&M) and specific. Otherwise complaints will not be registered for rectification.

9.    Non participation in meeting:

It has been observed that even after prior intimation to each and every resident, hardly 15 -25 residents are present in the general body meeting. All the residents are hereby requested to participate in these meetings as the decisions taken therein will be applicable to all the residents.
