Large scale garden rotation and planting tracking tool ideas?

Hi all,

I volunteer in a community garden that supports an out of school feeding program and community food bank. The gentleman that has been voluntarily managing the garden for close to 2 decades is moving out of state and a few of us have stepped up to take over the leadership.

He has meticulously organized each of the year's rotations and plantings in spiral notebooks that live in the tool shed. We are hoping to capture all of the information in an online tool or other system so that it is accessible by multiple folks remotely and easier to manage.

Most of the tools that I am finding online appear to be for a residential home garden or are offered for a subscription fee. We are all volunteer and have an incredibly small budget that is primarily used for seed, soil, and other necessary equipment.

Has anyone come across a free or extremely low-cost tool that has worked well for multi-year planting and rotation for school or community scale gardens? Our last resort would be Excel - perhaps someone has a good template that they've pulled together and are willing to share?

Hi Suzy,

We adopted a spreadsheet system to manage our school gardens a couple years ago and I've really liked the improvement.  We use Google Sheets, which is easy for multiple people to access and edit.  I'd be happy to share a template with you if that's the route you'd like to take.

We have been using AirTable for tracking a lot of this information, as well as volunteers, school contacts, etc.  It takes some getting used to, but has a lot of features that go beyond a traditional online spreadsheet.  (I just said "traditional online" - ha!)

I would appreciate learning about how Google Sheets, or any other easily shared interactive document for planting plans, rotations, etc. can work for community and school gardens.  

I need to develop something very specific as part of the community planning for a labyrinth food garden's year-round planting plan in Portland, OR.
