Thanks for the mail, yes it is true, we do not really have room for a session during the conference.
We do have the room available from 3-4PM. We are currently also setting up a Google Calendar for community events around Scala Days, and the UG Leader meeting can be published there. It could be nice to also have something set up during the Community party on Tuesday Night where people can come up to UG leaders and meet some of you in person, we can set up an area if you would like that. It could be an informal way for people interested in starting User Groups in the local areas to talk to some of you.
I have cc’d Anna who is managing logistics for this event as well as setting up the Google Calendar, we will let you know when it is up:)

We’ve also asked for a slot during the conference in order to get together with Scala enthusiasts that want to start a user group. We didn’t get any confirmation on that and we’ll probably won’t have it. This also overlaps to some extent with Dick’s talk “Scala needs YOU!”.
AFAIK, all speaking slots are booked and not changeable. I'm not sure, but maybe if someone doesn't show up, you could grab this slot? Will have to check on that...
I think the next steps for us are:
1) Setup an agenda for the meetup (or maybe that’s not even needed and we go ‘unconference’ style)
Please, share your ideas.
An unconference portion of the hour would be a great idea. What is the goal of the meetup? Expanding SUG participation, discuss new projects, etc? Perhaps 20 min of presentation with 40 min of unconference would be cool?
2) Promote the meetup on twitter. We have now enough critical mass and we can generate enough buzz around it. Maybe we can setup a form for subscribers to know how many people will join us. Just an idea.

We have been working on the requests that you would like to have integrated into the program for Scala Days AMS.
The meta-meeting for UG leaders will take place at the conference venue, just like in Berlin. We can run it from 3-4 PM before registration opens. In terms of a session on the program—I would like to ask Laura and Dick to decide if we have room on the program for this before the community party.
We have created a promotion code for the 650 Euro rate for all User Groups outside of NL. This promotion code is for the conference only and the code is : scalaug If you can help me get this promotion code out to the UG leaders, that would be fantastic.
In terms of interested groups that would like to spread the word about Scala Days and have significant sized groups, I would suggest that they contact me, and we can work out how they can potentially raffle tickets or get free tickets for their group leaders. Let me know if this makes sense or if we need more clear requirements around what user groups do to market in their communities.

Two meetups
Following Andy’s suggestion at ScalaX, I asked Geeta if we could have two slots instead of one.
From our past experience we learned that there are two very distinct set of people. Those running a user group and willing to share their experience and learn from others. And those willing to start or get more involved with their local community.
The initial proposal is to have a meetup with user group leaders before the opening keynote (like we did in Berlin) and another slot during the conference itself. Probably just before the community party.
The second slot is thus for getting others involded with user groups. We can see it as: “How to start or get involved with your local Scala community?”.
How to announce the meetups?
Another aspect that we would like to improve is how to reach-out as much people as possible. Last year we sent an email to all attendees inviting them to join the meetup. That worked pretty well. We got around 60 people in the room.
However, a more effiecient way would be to have it announced in the conference schedule. In other words, incorporating it in the conference program. As such everybody will see it each time they consult the scheduling. Hard to not see it, hard to forget it.
Note that the meetup is not a talk. The format is totally different. It’s about sitting together in a circle and let people interact as much as possible. Therefore we should avoid presenting it as a talk.
Community tickets/discounts
User groups members will get an extended early bird price. As far as I understand that means early bird price until it is sold-out.
The Amsterdan user group got a 50 euro discount for their members, because the conference is in Amsterdam.
We also discussed the possibility of having some free tickets for user groups (for raffling and/or for the leaders). There is no confirmation yet on that. This is yet to be discussed between Trifork and Typesafe. Geeta will keep us informed.
In case they decide for giving away some tickets, some basic requirements will probably apply. Like minimum number of members and minimal activity. It doesn’t make sense to give tickets to user groups with 10 members that get together twice a year to have some beer.
Voilà, that’s all we have so far.
