Points discussed in the meeting:
Monthly Expenses to maintain the apartment:
Electricity bill: 20,000/-
Security: 12,000/-
Housekeeping (Gagan): 5,000/-
Diesel (daily atleast 1hour=10lts=INR 500/-)=15,000/-
Miscellaneous (Gym, Swimming pool, etc): 5,000/-
Total expenses: 56,000/-
Monthly collection: approx 50 to 52K/-
Hope by now everyone has got the situation that we are in, and hence below are the decision that have been taken:
1) Recently we had theft in one of the apartment, also our area is prone such activities, the solutions that we discussed are as follows:
i) Change security (this will cost us thrice the amount)
ii) Go for an integrated solution (one time investment) on CCTV and access card setup, quotation and details will follow up in near future mails.
Solution finalized: CCTV setup and change the security person instead of agency (cost effective)
2) Since AMC for generators and lifts has expired we need to shell out some amount for this (amount will be added to the above amount of CCTV setup and sent across)
3) In order to have water available for 24*7 we need to have a solution which will make sure that we use both the bores (which as of now we are using only one due to non-availability of 2nd motor)
--> Submersible motor for sump tank (immediate requirement, Management to have this installed by the end of this week)
4) Increase in maintenance for non-occupancy,
as of now we are collecting just INR 500/- for non occupancy, ( this was decided in order to have people who have done registration and not occupied, and not for people who are occupied and not staying). Hence from May 2012 we are increasing the maintenance of this flats to INR 1000/- .
5) For new tenants joining out apartment, proof of service certificate to be submitted by tenants before getting into the apartment, and for foreigners employment certificate and a copy of passport is a must,
6) Pets restricted in lifts and other facilities meant for residents, also pets should not be wandering around the apartment (owners should take care of this)
7) Quarterly INR 500/- will be taken from residents as development/corpus fund, which will be utilized for any undue occurrences in the building
8) Association formation is the priority, (katha transfer we are looking for other options)
9) Club house: Carrom coins and other movable items (like TT bats and balls) to be brought by the residents,
10) GYM / Swiming pool timings:
Gym: Morning 5 to 10, Evening 5 to 10
Swimming pool: Weekdays 8 AM to 12 Noon & 3PM to 6PM
Weekends: 8AM to 6PM
11) Party hall : Residents have to pay Deposit (apart from usage amount that is taken) when they take party hall it may range from 2K to 5K depending upon the function and gatthering.
12) When ever any flat owner wants to use their corridors for any work they need to inform their neighbors and start there work else requested
to arrange some alternative solutions ( like do the work in day time only, make sure neighbors are not affected)
