Every weekend we will be assigning specific drivers who will be including on the Sac State Club Sports paperwork. These drivers are the only individuals who will be reimbursed for gas for that collegiate race weekend. THEREFORE, if you decide to drive yourself to a race and not go in the 'team car' you will not receive reimbursement for gas. Again, the drivers who will be receiving reimbursements for gas for a weekend are the drivers noted on the travel packet. This has to do with legal requirements from Sac State, as outside drivers from our travel packet are not covered by the school's club sports should anything happen nor covered in costs for reimbursements.
If you are an assigned driver you are required to following the necessary steps to receive reimbursement:
1. Before departing/picking up riders from the team for the weekend you MUST fill up your gas tank so it is full. [this receipt is not included in the final total]
2. Any gas purchased during this weekend - you must have a receipt included that shows the date, location, and who purchased the gas (card number)
3. Once you return and have dropped off any team members you MUST fill your gas tank so it is full again. This is the final receipt that will be included. Therefore the date should reflect the return date.
Therefore do you happen to know an estimate what the amount would have been without the first receipt, as it sounds like you included the initial fill up in the total. Does that make sense?
