Digital surrogates are delivered as PDF files, and a PDF/A preservation master file is saved permanently at PHS. PDF/A is an ISO (International Organization for Standardization) standard Portable Document Format suitable for the long-term preservation of page-oriented documents.

***Please note: Documents are made text searchable whenever possible. OCR (Optical Character Recognition) software will not work with handwritten text, some older printed or decorative fonts, and certain languages.


Select pages, images, and chapters will not be digitized. The society reserves the right to determine the reproduction medium and equipment used, contingent upon the condition, size, and quantity of materials requested. The society reserves the right to refuse an order if, in its judgment, fulfillment of the order would damage the item or involve violation of copyright law.


Turn-around



Digitization orders require approximately 1 to 3 months to complete, depending on the size of the project. Large requests may require additional time. Please contact us for an estimate.

All responsibility for copyright infringement, questions arising from copyright, and the use of reproductions is assumed by the person submitting the digitization request. The copyright law of the United States (Title 17, United States Code) governs the making of reproductions of copyrighted material. Under certain conditions specified by the law, libraries and archives are authorized to furnish a reproduction. One of these specified conditions is that the reproduction not be used for any purpose other than private study, scholarship, or research. If a user makes a request for, or later uses, a reproduction for purposes in excess of this fair use, that user may be liable for copyright infringement.


PC(USA) congregations that are 50+ years old with 200 members or less may qualify for financial assitance to digitize their records. You must include your most recent budget to be considered. PHS staff review and select applications for funding on a rolling basis throughout the year.

I stowed it in the attic, where it was soon joined by boxes of photos and videotapes given to my husband by his parents, plus the prints and negatives we amassed on our own in the days before digital cameras and smartphones were a thing.


In time, I found myself worrying about what would be lost in the event of a house fire or a hurricane. I wanted to digitize the images not only to preserve them but also to share them with friends and family, particularly my teenage daughter, so she could one day look back on them and realize her parents were once young, too.

I looked at 14 options, and the offerings varied widely. Prices ranged from 9 cents to $5 per scanned image, depending on the size and resolution. Estimated turnaround times ranged from five days to six-plus weeks, with video conversion generally taking the longest to complete. Some companies offer extra services, such as cloud hosting, so you can access and share your digital images once the project is finished.


I quickly eliminated 10 services from the running due to poor customer reviews; complaints to the Better Business Bureau; an outdated or insecure website; or a lack of detailed info on pricing, photo resolution, and privacy and security policies.

Newspaper digitization is extremely challenging. The source material, intended to be disposed of shortly after being read, is a challenge to preserve. Libraries sporadically collected material beyond the large dailies. Varying font-sizes in numerous columns laid out in inconsistent patterns confuses OCR engines.


East View has the expertise to digitize from microfilm and print holdings using consistent standards modeled on the Library of Congress National Digital Newspaper Program standards. All pages are outputted as archival TIFF images, JPEG2000, METS/ALTO XML and Searchable PDFs to support digital preservation, platformization, and text and data mining. This allows for long-term interoperable uses.


The standard platform for digitization projects is the East View GPA platform, which was designed specifically for academic research of newspaper content and is cross-searchable with other key GPA collections and standalone titles. In 2019 East View partnered with the Center for Research Libraries to accelerate the digitization of newspapers in member collections. The GPA CRL Alliance will ultimately digitize millions of pages spread across collections selected by CRL advisors (including multiple Open Access collections). In addition to these collections, the GPA CRL Alliance program also supports CRL member institutions with discounts on commercial GPA products and custom digitization projects. CRL members that choose to do custom digitization with East View enjoy additional value as the standard platform UI for digitization projects matches the UI of the CRL-wide and Open Access collections and can live on the same search platform. Through the American Rescue Plan Act (ARPA) Section 9817, and in conjunction with the Centers for Medicare and Medicaid Services (CMS) and the Colorado Joint Budget Committee (JBC), the Department was approved to distribute approximately $100 million through grants and pilot programs.
