Please find more info on our project this Sunday and the MBOR forms and a press invite.

Please also take note there will be 2 outlets in Seremban that will be coordinating these efforts thats the Giant's in Senawang and the in Terminal 2.

I have appointed assistants from each club at both these outlets.PP Sesuratnam at Giants Terminal 2 and PE Rama at Giants Senawang from RC Senawang.I'm awaiting for feedback from the other partner clubs for your assistants.

These assistants will be in charge to coordinate efforts at both these outlets the mechanics of which we will work out at the meeting on Tuesday.We would also need to work out details for the new outlet and will revert on all updates latest by Wednesday.Most important we will need all the assistance of volunteers.

Dear GCs

We are now accelerating to 4th gear and things are moving smoothly.  Thank you all for making this happen. 

Please note the following:

- There are some changes in the Volunteer list for MBOR..please use the attached form for the volunteer list.  The persons verifying and witnessing could be the Giant Managers.  Please continue to invite volunteers.

- The Official launch is at 11.00am national wide.  We would like to capture this moment and share it on facebook simultaneously.  Your GOH could be a VIP a PDG or any Rotarian.  You may want to invite representatives from your sponsored "home", OKU, or Organisations you have been partnering in your projects to be part of the launch and event. Have them distribute the bags too.  Its all about Rotary in Public. 

- You may start distributing the bags as early as 10.00am when Giant open their doors.  You may want to talk to the respective Giant Store Manager to sponsor mineral water and probably some light snacks for our Volunteers, as each Store has the liberty to provide any form of support…if you are having a launch with VIP they could probably even host the VIPs and give some goody bags,…. get them involved.

- Attached is the draft for the Press Invite, if you don't already have one.  You may change and include where necessary.  PP Karthi will forward you with the Press Release.

- This is the first ever project involving ALL Clubs…one project, different locations at one time.  One week to go….together, lets make this a reality!

1. The banners (2 nos) and posters (5 nos) are being delivered and should arrive at the respective Giant by Friday.  They will be up over the weekend.

2. Following note is from Giant HQ to their respective outlets.  Many of you are already intouch with the Store Managers, thank you: 

Dear All,

I believe the Rotarians are liaising with you on the above event. As this involves two parties (Giant and Rotarian), kindly clarify clearly on what both parties tasks are to avoid any confusion on the event day. If you are uncertain , pls feel free to contact me.  Please allow priority receiving for the bags, t-shirts, balloon and balloon holders, which will be delivered from 24/5-26/5 by Kim Ban Marketing (M) Sdn Bhd.  Please keep it aside for event use and the Rotarians will pick it from you. Please get the T-shirts for cashiers from the Rotarians once the boxes are opened. T-shirt is a bright apple green.

3. The t-shirts are packed in 100s (Size: 40% M, 60% XL). Please set aside 10 - 20 t-shirts for Giant Cashiers.

4. Each location will also receive a I Choose To Reuse Flag, you may use it for your own launch gimmick. 

5. Do you have the RID 3300 Rotary Song 'We Are The Rotarians'  CD?   If you don't, the song and instrumental can be downloaded from our RID 3300 Facebook Fan Page.  Your may play the song at these Giant Hypermarkets for additional publicity for Rotary.

Hi Green Coordinators,

 

We are just 7 days to making into the Malaysian Book of Records. Over 4,000 Rotary Volunteers are expected to be at 27 locations district wide to distribute over 130,000 free reusable bags.

 

Some Urgent matters needs your immediate attention ;

 

1.       Banners & Posters publicizing the event should now be already installed at all the respective locations. Green Coordinators need to CONFIRM this with the respective GIANT locations and other non Giant locations. This is utmost important. We need these banners and posters publizising  the event up at least a week before the event . Please visit and call your respective Store managers to confirm.

2.       The T Shirts, Balloons and Reusable Bags is expected to reach the locations by latest 25^th May 2012. You will need to liaise closely with the Store managers on this. You should by now have contacted the Store managers to determine the exact program for 27^th May. Determine the layout – Rotary Booth, Distribution plan at the checkout counters , program ( if you desire to have a launch ) and the logistical details of  the volunteers.

3.       Each location has been requested to provide a minimum number of volunteers and T Shirts have been allocated for the pre determined number of volunteers. We have been getting a lot of enquiries from individual clubs asking how many volunteers should each club should bring. Green Coordinators – You need to ensure that the number of volunteers that each location has been requested to provide is adhered to. We have 7 days to get your clubs under your supervision provide the numbers. Volunteers can be Rotarians, their family members, Rotaractors, Interactors, Office colleagues,  Charity homes that you work with and friends.

Hi Green Coordinators,

 

We seem to have had some problem with the transporter and they have assured us that the Banners/Posters & T Shirts, Balloons & Bags will reach you in a couple of days. If you do not receive them by Thursday latest – please email me or Paul Nyu.

 

Meanwhile, attached the Media Release in English, Mandarin & Bahasa Malaysia if you will like to engage the press on your own. This is mainly for the locations outside Klang Valley as the committee has already engaged all the relevant media.

 

Also attached is the Volunteer List that you will need to keep the attendance for the 27^th May event. This is required for the Malaysia Book of records. All locations need to also furnish photographs and video clip of the event to the committee post event.

 

Great work guys..... let’s get as many  Volunteers out there on 27^th may 2012.
