Say, isn't it about time we got together again?
The 2010 race season is about in the books and 2011 looks to be
another great year for our sport.
While the interim posts are helpful, I truly enjoy the camaraderie of
the live get-together.
Sadly, Saunders was just razed so we'll need another venue. Roundabout
Diner on the Portsmouth Circle?

What I wanted to do is book a room at the Exeter Inn, after their Sunday Brunch.
We could charge enough per person for the brunch and I could make an easy registration page, like I do for the Race series.

Cost would be $35 and includes brunch....

I would very much like to take part in another roundtable, but will be deploying at the end of the month.  Should be back in late Feb and will surely attend if it’s after that.  Otherwise, I would be interested in hearing how it went?

Basically it is a chance for a bunch of Race Directors to get together to share dos and don'ts on races.   Share insights. make connections blah blah..
It is fun and pretty informative

Thanks for getting this started, Arlon.

Our initial meeting last winter was a success, and I agree that we
should keep this going. I'm up for planning another meeting for this
winter so we can discuss new issues, involve new people, and have more
of that face-to-face time.

I like the location of the Roundabout Diner because it is easy to get
to from any direction. But it can also get noisy there - they've
always got music playing, and are reluctant to turn it off. We had a
meeting in the lounge there on Friday, and it was a little challenging
for the people on the edges of the group to hear everything.

The only issue with the Exeter Inn is that it is a bit less centrally-
located, and it would be good if we could keep the price under $30.
Still, let's keep the EI on the table, but see if we can identify any
other options.

This year, we met on March 2. If we want to do this on a weekend,
should we shoot for the last weekend in February? We'll have to check
the race schedules, although it is generally pretty quiet at that time
of the year.

Just as a bit of research, how about we create Facebook event/page/whatever
which poses the possibility of a meeting and gives a rough window of a time
span to see who might be interested.

I've got a paid account on a "Forms" site. I can create a form, ask
questions, and when the user click SEND, then get to verify their data
before it's sent to me as a specifically formatted email which can be
imported into Excel for tabulation, (optionally received as an Excel
Download)

We could ask questions like:
Who are you.
Where are you.
How far would you travel?
What day of the week would suit you best?
Areas of interested.
What was your biggest problem?
To save time on a weekend, would you like a snack during the meeting.
How much would you pay?

BTW, as each of the emails arrive, I can have a copy forwarded to whoever so
the planners all have a rough idea of the general activity. I do this with
race registrations because sometimes when I see a name it triggers
"additional" thoughts (opportunities) that might be timely if I see the name
early.

Hi Steve,

While I like the idea of doing some basic pre-meeting research,
perhaps it should be done in two stages. The first stage should help
identify which and how many people might be interested in attending
this meeting, and when/where we should hold it. Once we have a list of
prospective attendees, then we can probe a bit more to find areas of
interest, problems needing to be solved, etc.

I think I'd also make these questions 'multiple choice' rather than
open-ended, such as "Would it be easier for you to meet in (for
example) Manchester, Rochester, or Portsmouth?" rather than "Where are
you" and How far would you travel?" I'd also use the Doodle scheduling
site to select around half a dozen dates and let interested people
check in and choose the days/dates that work for them. Then it is just
a matter of seeing which dates work for the most people. Even in
regard to price (and I think we should offer some food, regardless of
the time of day), I'd give 2-3 choices, and see where people line up.

Just my 2-cents worth...
