PrintShop Mail is a software solution that allows users to create dynamic, database-driven documents quickly and easily. PrintShop Mail allows you to personalize your promotional communications by varying text, graphics, barcodes, or entire layouts based on information found in your database, for promotional documents such as advertisements, direct mailings, flyers or any other type of promotional documents.


  1. All behaviors comply with the Code of Conduct & Rules of Behavior outlined in Chapter 8 of the General Government Policies and Procedures Manual.
  2. Provide skilled and responsible confidential administrative support to Finance Administration and the Finance Department in general.
  3. Compose, prepare and review a variety of memorandums, correspondence, reports, public notices and documents for Finance staff; complete various forms; prepare and distribute reports for review and use; prepare and maintain a variety of forms; handle confidential information as appropriate.
  4. Answer questions and provide information to the public as appropriate.
  5. Complete daily mail runs for Finance Administration, Budget & Treasury, and Accounting.
  6. Prepare and maintain a variety of files and filing systems; prepare, maintain and update various records and reports; research and verify information as requested; purge files pursuant to State of Texas rules and regulations established for record retention and public record acts for Finance Administration, Budget & Treasury, and Accounting.
  7. Prepare materials and correspondence for distribution within the City and to other related external businesses and governmental agencies; photocopy, mail or fax materials as necessary.
  8. Screen and direct calls and visitors as appropriate; schedule travel arrangements, reservations, daily operations or meetings as assigned.
  9. Schedule and coordinate calendars for Training Rooms A & B and the Accounting Conference Room in the Outlook system. Coordinate room arrangements with Building Services and IT as needed. Schedule access doors to lock and unlock as needed.
  10. Review, verify and prepare payment vouchers of department invoices, purchase orders and contracts; review and verify reimbursement and expense vouchers when assigned.
  11. Process departmental purchasing card transactions on a weekly basis.
  12. Assist with the stale-dated check process and related unclaimed property mailings.
  13. Perform Finance Department web page review on a regular basis to ensure accurate and fresh information is provided. Coordinate any changes with representatives from each Finance division.
  14. Coordinate, review and process payroll and time reporting records for Finance Administration, Budget & Treasury and Accounting (including Warehouse and Print Shop/Mailroom employees).
  15. Process accounts payable checks for mailing distribution.
  16. Schedule annual Tax Increment Reinvestment Zone (TIRZ) Board meetings along with any other Board meetings to be held throughout the year. Post related agendas and meeting notices. Take minutes during the board meetings for official record.
  17. Provide highly responsible and complex assistance to the Director of Finance on special projects.

  1. Order and maintain office supplies and associated materials for Finance Administration, Budget & Treasury and Accounting.
  2. Monitor the use of City equipment, process orders for maintenance, repair and operational items as necessary.
  3. Assist with computer software training as necessary.
  4. Assist in planning and coordinating Finance Department functions as needed.
  5. May participate in a variety of activities involving travel between various City facilities and to other related external business and government agencies which may include collecting and distributing mail, delivering money for deposits, and picking up materials and supplies.
  6. Schedule meetings and provide set up of conference room with required equipment as needed for the Finance Department.
  7. Participate and support special projects and attend training seminars.
  8. Perform other duties as assigned.
