Summary of Meeting (by telephone) of March 8, 2011
Happy International Women’s Day!!
1) Quilt:
- All agreed that Jenn and Denise should go ahead and make best use of our existing photos as they see fit – whatever is easiest is to be the rule of thumb – the fact that background is not uniform re our photos is not a concern
2) Business cards:
- We are all in agreement with Jenn’s last e-mail on the subject – go green!! – will resort to recycled material and order will be made as soon as possible
3) Presentation:
- Ragen, Matt and Michelle (the smart ones) will liaise and produce a final copy as soon as possible in order that we may learn our lines in anticipation of dress rehearsal of March 28 and anticipated presentation in Kemptville in April if that is suitable for Anna’s club –
4) Visas:
- Gilles provided name and number of contact at Embassy in Ottaw to smooth the way for applications – all should apply by Friday at the latest save for Jenn who will apply in early April and we will share in that expense six ways – Anna is expert as experienced travel agent and should be consulted -
5) Travel comfort:
- Gilles will book a modest room in airport hotel in Sao Paulo so that we may all shower, nap, freshen up – Michelle will suggest best place
6) Next group meeting:
- Suggest we meet in Ottawa at Courthouse on Saturday, March 26, at 10 in morning – rehearsal in morning followed by 2 hour language training if possible – 161 Elgin Street –
7) Clothing:
- Gilles suggested we purchase ties and scarves from Rotary with Rotary emblem (Brazilian if possible) to wear on formal occasions such as initial greeting at airport, District Conference formal opening, etc.
8) Funding:
- Michelle discussed the request put forward by herself and Matt for funding – not clear but it seems that no formal response has been received – discussion centered on reference at p. 8 of the Group Study Exchange manual which states: "The Foundation does not pay for items such as uniforms, business cards, or presentation materials, but the sponsor district or clubs might fund them."
9) Gifts:
- Michelle will order soft-cover books as discussed to present as formal gifts, and team members will also consider individual gifts as see fit – Anna provided useful list of suggestions – Gilles will order $250.00 value, while other members are ordering books for a value of $150.00.

a) Gilles must obtain Rotary name tag holders as at District Conference
b) Gilles must obtain more roll-up travel bags
c) Gilles must ask Anna / Kemptville president re trial presentation
d) Ragen must contact Portuguese teacher for March 26
e) Gilles must book Court house conference room for March 26
