Good Afternoon....
I just wanted to let you all know that in the calendar on Microsoft Outlook when I schedule parties/events, I will type comments in the comment area so the rest of you know what is going on.
For Example:
- Katelynn calls wants to schedule Birthday party on 11/15/2012 from 2-4 pm, She wants Activity Room 2 for 1 hour and the indoor pool for 1 hour. I explain to her she needs to come in fill out rental agreement and put down deposit (I say HALF of what is owed.) I ask her if she is a member she says yes. I tell her that the fee will be $95 So she needs to make a deposit of at least $47.50. She says okay I will be in on 11/02/2012. I say okay Have a Great day.... we hang up...
- I then go into Microsoft Outlook and Schedule the Event in the comment section I would say Katelynn is coming in on 11/02/2012 NEEDS to Fill out Rental Agreement and put down Deposit ($47.50) She will be in Act. Room 2 from 2-3Pm and Indoor Pool 3-4pm.
- When Katelynn Comes in .... she ask for 6 tables and 30 Chairs For the party, she pays $50 and fills out Rental Agreement. (I make 2 copies of Front Page and place in Julee's Box with Highlighted times they will be in Pool)
- I will then go back to the "comment section" I put in there that Katelynn came in PAID $50 and filled out Rental Agreement and she asked for 6 tables and 30 chairs.
I think this will help all of us to know what we talked about with the customer... AND.... I didnt want you guys to think I was crazy for typing up everything! LOL
