Scott and I thank you so much in advance for your assistance in helping to put the last minute details to rest in the next day or so.
If you are the contact for the need confirmed ASAP’s if you could provide us with status by tomorrow morning. We want to get the remainder of the program to Lenore as she will need to have time to design the ads so that Scott and I can get the program printed by Saturday.
Also, we have 7 confirmed participants plus Sean and Christ Lutheran are also “in” so we are at 9 currently and if everything else comes through—we can hit between 12-15. That is a lot of chili per guest—we have 2 oz cups per tasting so you might be going home having eaten a pound of chili that day!
Tomorrow we will have a specific list of the day for everyone plus the volunteer tasks which will be designated and each of you can sign up for your preferred slots. Each Rotarian will be working from 12-4 pm. We will have shifts rotating with on and off schedules so that means you could be on 2 hours, off for one to eat yummy chili, and then back on for the last hour.
I will be bringing the mock ups of all the awards, table sheets for contestants, and also the 8.5 x 11 versions of what will become our signage for things like hot dogs, water, and the raffle tables.
Please let us know the following tomorrow: how many tickets you have sold presently, and if any of them, will be on a will-call list at the door. I want that list ready to go by Sunday so the ticket takers will be able to manage that plus walk ins.
Also, don’t forget your spirit of choice! If you could bring that tomorrow it would be great.
Finally, everyone will be asked to be there at 11 am on Sunday morning to do last minute details as Scott and I will be arriving early that morning. We will also be notifying individual contestants about their anticipated arrival times so that we can have our team outside to help with load ins…
