Ijust bought fuji xerox CM 305 df and would like to setup the scan to email.
And from what i heard, for the smtp server address i need put the ip address of the smtp server because it cannot resolved the smtp name.
I also just want to double confirm that if i want to use scan to email, i would need to use dhcp; and cannot use the static ip address for the printer. is this correct?
If it is, that means there something is wrong with my printer because evrytime i tried to scan to email it always give me error no 016-503 unable to retrieve smtp server.
Try accessing the web interface to setup the printers network settings, hopefully there you can setup the DNS address and a static IP address. Sometimes even the router IP is good enough for a DNS address.
Any decent mail server will require a login and password at least, Many require nothing else so try different combination of the other settings. It is probably the same as you use for your email to it.
I am scanning to email using a Fuji Xerox CM215 Series printer.
I am with Bigpond. My Bigpond mailbox is with Outlook.com.
After much trial and tribulation I got scan to email working as follows:
SMPT Port Number................25
Email Send Authentication.......SMTP AUTH(Plain)
Password............................Same as you use for your email
POP3 Server Address.............61.9.189.249
POP3 Server Port Number........25
Just as an update to this thread in case anyone else is looking, I used
mail.bigpond.com as the email server address, the port is 25, and authentication set to invalid (though I have my @
bigpond.com email and password in there). The status shows as 'ready'. Note you will also need the DNS server pointing to the Telstra server (mine is set to 61.9.242.33) which is under the TCP/IP settings.
Also, Fuji Xerox support is really good (well the level 2 guys), even outside the warranty period. The phone number is 1800 811 177. I've called them twice now when the scan to email thing wasn't working and they helped and got it working both times.
I have used the settings from Dougstew, and this worked fine until about a week ago. Suddenly I get an 016-507 error, apparently an issue with the SMTP server.
@Crunch, I see your update from a few days ago, but that does not seem to work either....Anyone know what has changed with Telstra or Bigpond?
I see some recent posts on this topic and thought I might add my experience and hope it helps anyone with the same problem. Please note I'm no expert with no networking experience; but I spent a good few days just randomly changing settings until it worked. I needed to access both the printer screen and the web interface.
Home Screen -> [PRESS BOTTOM LEFT BUTTON] -> Tools -> Admin Settings -> Secure Settings -> Login Attempts -> 5 times
Note: Mine was originally set to 0 times this seemed to cause authorisation error messages

I cannot, regrettably, remember if there was a specific order to the above. I was just changing settings and all of a sudden it started to work. I had to create a Gmail email for it. I had no luck with
outlook.com, Office 365 (exchange), BigPond etc. It just kept throwing up network errors. I had no luck pinging smtp or name lookups. I am using a Mac so I'm not sure if this printer plays nicely with macOS. My father in law here has a Lenovo PC (Win 10) and the printer 'finds' it easily using 'WSD'.
Scanning is one of the subjects we get many questions about. There are several ways to scan and that is what seems to bring all the questions. On the multifunction printers (MFP), there is scan to pc, scan to email, scan to a shared folder, scan to desktop, scan to USB, and more. Not all MFPs have all of the different types of scanning and some forms of scanning may be an option.

One video will walk you through setting up the scan to pc desktop on the Xerox WorkCentre 6027 Family products. The other newly uploaded video shows you how to setup scan to smb on Windows 10 OS Xerox AltaLink Family products. Many of the steps in these videos as it relates to the setup on the PC translates to most of the multifunction printers that have the same feature.

After doing some research I think the problem is that we do not have an email address set for the printer, hence the reason for the problem. I have the SMTP server name and port number and can log onto the web printer settings as admin to set things up.
I am writing to see how everything is going on with this thread, is this issue resolved now? If so, would you mind marking the helpful post as an answer? Which would benefit others who also has similar issues in forum.
Sorry this is going over my head a little, I have no IT background. How do I go about firstly creating the printer email address as I cannot find this on settings anywhere? As the main problem is that scanned documents go nowhere even if you put an email address in.
Thank you for the reply, the error code I receive is the following (016-764) : SMTP Server Connection Error. The Xerox guide advises on a number of steps, see link below and the only information I am missing is the printer email as there has been none set up. So how can I go about setting up the printer's email address on outlook? I know how to input the information on the printer I just need assistance with creating the email address and assigning it on outlook to the printer.
