With Gmail confidential mode, your users can help protect sensitive information from unauthorized or accidental sharing. Confidential mode messages don't have options to forward, copy, print, or download messages or attachments.

Important: Confidential mode helps prevent recipients from accidentally sharing messages. It can't prevent recipients from taking screenshots or photos of your messages or attachments. Recipients can also use malicious software applications to copy or download messages and attachments.

Google Vault can hold, retain, search, and export all confidential mode messages sent by users in your domain. Vault can't access or read the content of confidential mode messages sent to your organization from external senders. If your domain uses Vault, carefully review how Vault handles confidential mode messages.

If your domain uses third-party eDiscovery or archiving tools, Gmail confidential mode might conflict with your organization's eDiscovery and retention policies. Before enabling this feature, we recommend you discuss the impact with your eDiscovery administrators and other policymakers.

You can turn Gmail confidential mode on or off for your entire domain, or for specific organizational units. When you disable confidential mode, users in your organization can't send Gmail messages in confidential mode.

You can send messages and attachments with Gmail's confidential mode to help protect sensitive information from unauthorized access. You can use confidential mode to set an expiration date for messages or revoke access at any time. Recipients of the confidential message will have options to forward, copy, print, and download disabled.

Note: Although confidential mode helps prevent the recipients from accidentally sharing your email, it doesn't prevent recipients from taking screenshots or photos of your messages or attachments. Recipients who have malicious programs on their computer may still be able to copy or download your messages or attachments.

Messages cannot be scheduled for sending with confidential mode, and it prevents recipients from accidentally sharing messages, but it cannot keep recipients from taking screenshots or photos of the message or attachments.

When in doubt about whether your email contains sensitive information, choose to use confidential mode. Confidential mode limits recipients from accidentally forwarding your email, but it does not prevent recipients from taking screenshots of your messages or attachments. Emails sent in confidential mode cannot be forwarded, copied, downloaded, or printed. This includes both the body of the message and any attachments. All of this is to protect sensitive files and information from being shared in an unauthorized manner.

Before we dive into how to do this, please note that Gmail confidential mode is only available in Google Workspace (i.e. school and work accounts) and must be enabled by your workspace administrator. If your Google Account is indeed set up through Google Workspace, you can use Gmail confidential mode on the web-based Gmail client or via an Android or iOS Gmail app.

Google Vault provides archiving of emails and is used for legal holds. Google Confidential messages are visible in Vault in the mailboxes of all internal senders and recipients even when the sender sets an expiration date or revokes recipients' access to confidential mode messages. Confidential mode messages sent from external parties are owned by their senders. Message headers and subjects of external confidential messages are available in Vault, however, message content or attachments from external confidential messages are not.

Any email system that depends on users clicking on emailed links to access remotely hosted email messages is likely to be subject to such criminal abuses. No matter how much diligence Google employs to try avoid users being fooled by phishing messages masquerading as links to Gmail confidential mode messages, we can be reasonably sure that this could ultimately represent a significant new vector of attack for phishing operations that will successfully ensnare large numbers of Internet users over time.

Given the relatively poor success that educational and message authentication efforts have had to date in these respects, there are no obvious solutions immediately apparent if Google operates their Gmail confidential mode in the manner described.

For healthcare providers and other covered entities governed by HIPAA, confidential mode attracted interest right away, naturally prompting questions about the level of privacy and security it affords.

If a recipient is determined to share information, there are still ways to accomplish that. Confidential mode has no way to prevent a user from taking screenshots or photos, then forwarding those to an unauthorized party.

The confidentiality expected by the users is not achieved because the emailsare still fully accessible by third parties. The EFF statesthat this increases the risk for the users as they may send private informationvia confidential mode, which they wouldn't have sent via a normal email, falsely believing that the data is securedwith encryption.

With this definition in mind, Gmail's confidential emails are just standard emails with some extra features likeunprintable, unforwardable, uncopyable, and so on. However, this will not stop anyone from taking a screenshot fromthe unprintable email, just to print off the screenshot.

All in all, there's not much benefit in using Gmail's confidential mode. If you want secure and private emails, you needto use an encrypted email option like Tutanota or encrypt your emails manually since Gmail has long abandonedits project to offer easy end-to-end encryption. Instead, they now offer a rather dubious versionof confidentiality.

The only benefit that remains with Gmail's confidential mode is that the receiving mail service doesnot see the email sent via this mode. If you sendan email from Gmail with confidential mode to a friend, who is using Yahoo Mail for example, Yahoo will not see thisemail. Yet, Google still has full access to the email so the benefits are extremely little.

It probably would be easy to circumvent the confidential mode features, privacy experts pointed out: For example, a user might simply be able to take a screenshot or photo of an email they had been blocked from forwarding, or call over office mates to read the email from their screen. Google did not respond to an email raising those concerns.

Gmail's new confidential mode lets its users create "expiration dates" for emails, or require recipients to provide an SMS passcode. (And Google also claims they've removed the option to forward, copy, download or print messages.)

But Slashdot reader Lauren Weinstein warns that Google is also opening up a new vector for phishing emails: The problem arises since non-Gmail users cannot directly receive Gmail confidential mode messages. Instead...when a Gmail user wants to send a non-Gmail user such a message, the non-Gmail user is instead sent a link, that when clicked takes them to Google's servers where they can read the confidential mode message in their browser.

The potential risks for any service that operates in this way are obvious. Those of us working on Internet security and privacy have literally spent many years attempting to train users to avoid clicking on "to read the message, click here" links in emails that they receive. Criminals have simply become too adept at creating fraudulent emails that lead to phishing and malware sites.

It comes after Google turned confidential mode on by default for business users this week (June 25). The feature adds more control by allowing senders to create expiration dates and revoke previously sent messages. Meanwhile, confidential mode prevents recipients from forwarding, copying, printing, or downloading their content or attachments.
