Job Description:
Overview
Oversees overall operation, maintenance, and future direction of the Materials Management Information System MMIS and subsidiary/complementary systems. Proactively supports implementation of Supply Chain overall strategic plan for productivity, efficiency, and cost savings.
Responsibilities:
· Develops and implements protocols to maintain and update all aspects of systems, including, but not limited to, vendor and item maintenance, user setup and maintenance, data entry, troubleshooting, and new ordering capabilities and functionalities.
· Communicates with staff, other departments, management, and vendors, consistently keeping all individuals informed of changes, developments, and updates. Works with ISD leadership and staff to monitor and maintain system uptime, system upgrades, patches, environments and other system needs. Manages and coordinates system changes, scheduled processes, and system reports and/or implementations with the MMIS.
· Directs MMISD staff to achieve their goals and complete their daily tasks, including, but not limited to, item, vendor, and other master file maintenance and development; production and dissemination of cost, product and system utilization, error, mismatch, and other reports; and implementation of system enhancements and functionality.
· Using systems tools, monitors performance of major vendors and business partners, verifying contract price accuracy, contract compliance and data integrity. Develops reports to identify and recommend cost improvement opportunities.
· Communicates opportunities, monitors implementation, and reports accomplishments achieved from these efforts. Encourages and develops alternative methods of providing services in order to control and reduce departmental operating costs.
· Recommends, develops and revises MMIS policies and procedures, monitoring and ensuring compliance. Identifies in service needs, and provides training through internal and external sources. Maintains systems and training documentation. Educates direct reports, Purchasing and Receiving staff, and hospital personnel in resolving and preventing mismatches within the MMIS. Primary Materials Management liaison with Accounts Payable for system and invoice mismatch issues.
· Sustains and enhances knowledge of professional trends and practices via participation in professional societies and industry user groups.
Education: Bachelors degree
Area of Study Required: Business Administration
Work Experience Required: 5 years of hospital supply chain information systems management experience, or 10 to 15 years hospital supply chain information systems management experience, five of which have been in progressive leadership roles.
Knowledge, Skills, and Abilities:
· Strong project management leadership skills, and the ability to manage several projects
simultaneously, developing timelines for implementation, identifying resource needs and potential
impacts, and charting their progress
• Strong team building skills, and the ability to initiate involvement and approval of Department
Heads and other key individuals and groups to implement identified opportunities.
• experience managing and directing staff.
• Strong knowledge of Microsoft Access, Project, Excel, PowerPoint, and Materials Management
Information Systems (ERP, Purchasing, Receiving, Inventory Control, Analysis and Reporting,
etc.).
• Ability to solve complex problems requiring the use of scientific, mathematical, or technical
principles and in-depth, experienced-based cross-functional knowledge.
