Minutes of the Meeting held on 06th Sept.15 between the Owners of Raheja Vistas Phase – 3 and Mr. Anil Mathur and Mr. Ganesh Kasar from Matrix.
The meeting was scheduled for 11.00 a.m. at the Raheja Sales Office with about 21 owners persent for the meeting.
The meeting was presided by the President of the Condominium Committee, Mr. Vinay Chetri, putting forth the first and the most important point on our agenda.
1)Security Deposits of Owners (SD)
Mr. Anil Mathur replied that the Committee Members should reconcile with Matrix and that maintenance charges not paid by owners shall be deducted from the Security Deposits. Mr. Chetri suggested if we could negotiate and come to a concrete settlement. Dr. Kulkarni also said that the discrepancy in the amounts to be paid for maintenance along with taxes is too much. Mr. Sethi added that the maintenance amount to be paid by the owners mentioned in the Agreement and what is being demanded at present, cannot have an increase of 100 percent. Mr. Mathur replied that nothing can be done. To this Mr. Sethi advised if we could cut it short and come half way and find a solution by having to pay a fixed negotiable amount as maintenance charge since we trust Matrix accounts. Mr. Patel said that as per Agreement , the customer’s expectations are low about the maintenance charges and the reason for them not paying uptil now could be the raise in the maintenance charges. Mr. Mathur said that the maintenance charges dispute has been going on since last 3 years and in order that it may not continue further, the book of accounts with Matrix will close on 30th Sept. 15. After hearing this, Dr. Kulkarni answered that if there is no money, how do they expect the members of the Condominium to run the show. Mrs. Umrigar requested that the maintenance problems uptil August 2015 is the problem of Matrix and that they should deal with each owner individually. Mr. Madre suggested that the Condominium members need a confirmation from each Owner regarding their dues pending with Matrix and that each Owner will have to deal with Matrix individually. Mr. Nair added that some Owners have not made any payments due to which condominium will suffer. Mr. Madre felt that 30th Sept. 15 cannot be considered last day for Matrix to leave since it is a very short period for them to collect  maintenance dues and other pending works to be completed. Mr. Mathur said that he can get back to us next week since he alone cannot take decisions.
2)On inquiring about the Deed of Apartment (DOA), Mr. Mathur replied that it would take about 4 months time for its completion.
3) On inquiring about the Club House, Mr. Mathur said it will be completed by end of January 2016.
4) On inquiring about the Transfer Money received by Matrix for resale of flats, Mr. Mathur replied that whatever amount of transfer money received post condominium, he said he will come to a settlement and see if he can give us a Demand Draft or as an improvement in infrastructure for eg : CCTV.
5)Mr. Mathur further said that the Transfer Fee for saleable Flats will be Rs. 100/-  and an area of 855 will be considered for all F series.
6) On discussing the lease point, Mr. Mathur said he will revert back to us.
7) Mr. Mathur said that the Club House will be maintained by the Members of the Condominium.
8)Regarding the originals of all documents, Blue Prints of the infrastructure, drawings of the Parking area, etc, Mr. Mathur will get back to us.
9) Water supply will be provided by Matrix even after their contract is terminated with us.
10)  Regarding Fencing walls for security  purpose from all sides, Mr. Mathur said it will be completed by end of October’15 as per the drawings in ‘L’ shape and shall ask the architects to make certain changes in the fencing plan.
11) Mr. Udani spoke about the filthy  water to which Mr. Kasar replied that only one single complaint since past one month has been noted. To this Mr. Mathew suggested that Matrix looks into this matter immediately as one complaint would be enough for the benefit of all owners.
12) Mr. Pandita inquired about various motor licenses to be transferred to the name of the RVP-3 Condominium which point Mr. Mathur took note of in his diary.
13) Owners complained about the fire fighting equipments that past 8 months equipments are not in proper condition.
14) Owners also pointed out that the STP needs ventilation system.
15) On concluding the meeting, Mr. Mathur summarised by saying that regarding Maintenance charges, Club House charges, Water charges, Lease, Speed Breakers,  Motor Operators,  Y Junction of Water Supply, Drainage, SOP, Water Proofing, Lift Maintenance, he will get come to us by next week.
The meeting ended at about 12.30 pm with a vote of thanks.
