Fixing the location and timing for the Meetup(8/12/2012)

Just clarifying the details.

Date: 08/12/2012 

Agenda:
- Fixing location and time for a regular meet up
- Decide on nature of meet-up
- Decide on activities we can conduct 
- Appointing organising members
- Decide whether to dump the mailing list and continue the google group

If you have any discussion on the agenda please refer to the mail from Dhanajay:  "Kicking Enthu a notch (or few nothces) up within Pune Python Community". Continue discussion on the agenda there or start a fresh thread please. Lets discuss the venue and time here.

We need to fix the location
Here are a few places that popped up during the discussion:
- Vayana Office (its near E Square)
- Grubshup at law college road
- Redhat office at Magarpatta

And time:
- 11:00 am ( lesser crowd in any public venue.)
- 6:00 pm

There's some confusion here ..is it Dec. 7th or 8th. 7th is a Friday and we could certainly host the meeting here at Vayana. I try to avoid professional activities on weekends unless completely unavoidable. So if 7th is convenient (which was the date suggested in the earlier mail) I suggest we do it at 6:30 pm at Vayana Offices.

We fixed it on the 8th. 

Saager Mhatre is trying to get SICSR fixed on that date. Lets hope that works out fine.

The date is fixed.

Time we could decide at 6:00pm.

As for the venue, we have a few options:
- Grubshup
- Redhat office
- Vayana Office (though 8th seems a problem)
SICSR (Need to hear from Saager Mhatre)

Looks like the option would be to hold it at Grubshup.

This place came up in the discussion earlier. Im trying to find out who suggested it but not able to do so. I'm not sure if it will house all of us.

I suggested it. It should house about 15 or so people. But if time is evening it will be noisy as its right on the law college road. 

Also - if time is Saturday evening, not sure how many can make it. I, for one, will have to miss out on it. I will suggest to change it on weekend morning (11am) or weekday evenings (7pm). It is just not possible to attend meetups on weekend evenings :).

Here's the dilemma you'll need to resolve.  Weekdays work extends. But weekends often demand time with families. The tradeoff you're asking is where pythonpune either conflicts with work or with family attention. Frankly work tradeoffs are infinitely easier than family times but thats my thoughts, you might find it easier the other way around.

I will also prefer weekday evenings. Problem is - if people are coming from as far as Magarpatta/Hinjewadi to Shivajinagar, it makes it very difficult for them to reach by 7pm. Of course we cant possibly optimize for everyone, so lets finalize Saturday 11am for this meetup and have a discussion during the meetup about best day/time/place for most people for future meetups.

Instead of asking around what time works for everyone, Someone just decided his work was more important than other's personal lives. This does need some hard talking. These tradeoffs only annoy. Especially after we pushed back the last meeting just in order to make sure everyone can attend. I would've expected a little exploration of what really works for all. So, no. I really don't care any longer. But I do wish the group the best with whatever it does.

I didn't see anyone deciding anything. I only see people suggesting different options based on their convenience.

Lets not take the group as a personal battle field. My apologies in saying the date was fixed. I should have kept it open. 

So lets keep the voting open till Wednesday. We shall fix the location and date on Thursday.

Its a meet-up fellows. Lets make it happen. The whole point of my first mail was to revive the enthusiasm of Pythonistas in Pune and it has caused a lot of traction. We have freshers mailing us and more people active. Lets not dampen the good activity with petty issues.

Although if I remember correctly Vayana Office has a max limit of 15 people. if we exceed that limit on the appointed day then I suggest the nearest CCD or Barista to Vayana Office.. hope this does not start another fury of email, Its just a suggestion and a quick fix :)

I feel a little odd at continuing to post on this thread (especially now that the matter is re-opened triggered by a misplaced rant). One part of me believes, its best to go ahead with the earlier plans now that one has come so far. Another says, it would be disrespectful to not further the discussion on location & time now the matter is reopened. I haven't quite made up mind on that. Yet let me quickly give my opinions here.

a. I don't even do a 2 person meeting at CCD since I find the background music there too blaring for reasonable communications. The suggestion of moving to a coffee joint may not work (most other coffee joints in the area are unlikely to have a much bigger seating capacity). There used to be a big CCD near the location a while back, but thats gone long ago.
b. I've been to Grubshub multiple times. Its a great place to eat and have a chat. Not sure if it is a good place for a discussion of 10-15+ people unless it gets exclusively reserved for that. There can be two scenarios here. i) There already are many other patrons at the place - in which case one will not find a good enough place to carve out for a discussion and a loudish discussion can only antagonize other patrons. ii) There aren't any - then one is lucky, and a meeting could be held. But its definitely unlikely to be able to seat more than 15. Generally one wants to have a coffee place with a nook where one can have a meeting without creating aggravating disturbance for other patrons. Neither GrubShub, nor the Barista or CCD on Law College road have that kind of layout. Having said that .. make sure to communicate well in advance with the coffee shop to make sure colocated seating spaces are available.
c. The number of people who actually turn up at a meet is often less than the number confirming. 

Clearly if the above seems to be an argument in favour of Vayana Office, let me assure you thats not the intent of this mail. In fact, I would prefer not to influence this discussion based on personal preferences. A location like SICSR as mentioned earlier would work great irrespective of the date if one is expecting a lot of people.

Thanks for that Dhananjay. I do agree that Vayana Office is a better place have the meet-up though I wouldn't agree with you about 2 people meeting up in a CCD for a discussion. I was hoping we could get SICSR worked out. Now that the weekday is back to the discussion, :), I would actually prefer we do it at Vayana. 

So here is a +1 for friday and +1 for Vayana Office. It is definitely better for the meet-up.

Mmm .. I've been burnt with that before :) So its my experience with CCD on law college road stating that.
 
I was hoping we could get SICSR worked out. Now that the weekday is back to the discussion, :), I would actually prefer we do it at Vayana. 

So here is a +1 for friday and +1 for Vayana Office. It is definitely better for the meet-up.

The problem is with the date and time. We are voting on it. If we can get a quick response it will be great. Last I heard from Saager was he would talk to the authorities. Its still in if we get it.

Hey Mandar, good to see you back in action on the lists. :)

I've gotten in touch with the authorities at SICSR and we should know by tomorrow if a classroom can be made available.
I've asked them for both Friday evening as well as Saturday, once we know their availability and decide on a date we can make the call.

Satyajit, I've gotten in touch with the authorities and we should know soon; so far it's looking positive.
Decided not to rope you in prematurely since I felt you had your hands full here.

That said, the Vayana office would be a ready backup.
We don't exactly have 'seating' for more than 10-15, but if a few people are willing to 'floor' it we can make do.

Will get back to you on the SICSR status separately.

Date/time: 1st preference weekday evening. 2nd preference Saturday.
