APs and GM E-mail

I'm running 5.0 and I've done as suggested: Creating an AP to send GM e-mail
after trigger, I've selected Schedule Activity/Message. My problem is I
don't understand how GM knows that the action to be performed is to send a
GM e-mail when the dialog box says "Take A Phone Message" and I also don't
understand how GM knows to whom the GM e-mail should be sent. I built then
ran an AP as described above and although the AP was triggered, nothing
happened after the event. What gives? Also; the reason for this AP
creation is for a client who wants the ability for one dept. to notify
another dept. of an action that needs to be taken regarding a certain client
of theirs. In order to do this, I have created custom views and fields and
an AP attached to a certain field, that when filled, acts as the trigger for
the AP. Should I have the AP scan continously, or once if the idea is for
the user to simply fill the field and let it go?
