Hello, Keith.

Thanks for your email.  Good news to hear of your group coming up to our
meeting.  As you probably realize,we will be relying greatly on volunteers
to help make our conference a success, so we are pleased to learn of your
group's interest in participating.

Here are some details about our volunteer program:

Volunteers will receive:
•       Free registration (Excluding the banquet)
•       Free lunches and coffee breaks (Tuesday, Wednesday and Thursday)
•       Free  special breakfast on Tuesday morning, May 15
•       Free T-shirts (so that delegates know who you are).

In return, volunteer are expected:
•       To contribute 8 hours of service at the conference
•       To attend an orientation session, probably on Monday morning
(Orientation for volunteers who are running the AV equipment will probably
follow on from the general session).
•       To provide assistance and support to conference delegates, e.g.,
registration, directions, setting displays, running AV equipment for
technical sessions

Can you share the above information with your group and if they are
comfortable with these details, then send us an email confirming their
decision to volunteer (be sure to include shirt sizes!).  Please indicate
the type of volunteer work they would prefer to do: we can’t promise that
everyone will get the work you wish, but we will do our best to do so.

We will need volunteers from Sunday, May 13, to Friday, May 1, so let us
know if there are any times or days when your group members will not be
available during this period.

If anyone has any skills that they think might be useful, please tell us.
For example, we will need volunteers to run the AV for our technical
sessions.  So, if you have this skill, let us know.

If you have any questions, do not hesitate to get in touch with us.

Thanks, again, for getting in touch.
